Position Summary

Skagit Valley College (SVC) is accepting applications for an Office Assistant position, located at Oak Harbor on our Whidbey Island Campus. The Office Assistant I position performs a variety of receptionist, clerical projects and assignments in direct support of Student Services and Enrollment Services.

This is a part-time, hourly position, typically working 15 or fewer hours per week during the period of Monday through Friday within business hours of 8:00 am to 5:00 pm. Work days and hours may vary based on the need of the program. The exact schedule will be worked out with the candidate selected for hire.

Duties and Responsibilities

  • Act as receptionist for student services by fielding multi-line telephones, responding to emails and forwarding requests to appropriate individuals, and receiving in-person visits;
  • Perform electronic mail tasks, answer general telephone and in person inquiries from potential and enrolled students, and the public;
  • Perform general office support including but not limited to: word processing, electronic filing, copying, and collating information for projects and training;
  • Assist staff with the acquisition and distribution of materials needed in college enrollment sessions (Cardinal Take Off);
  • Utilize a multi-calendar system, schedule calendar meetings and student appointments as requested by staff via phone, email and in-person appointments;
  • Maintain established recordkeeping systems by regularly sorting and filing enrollment documents as turned in;
  • Perform Word processing tasks such as mail merging for letters, sorting, integrating text with graphics, and downloading data;
  • Provide other clerical support to the staff and program as requested;
  • Provide office coverage as needed.

Knowledge, Skills, and Abilities:
  • Knowledge of and proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook;
  • Knowledge of Databases and electronic file management, scanning, file retrieval, etc.;
  • Knowledge of office procedures and practices;
  • Ability to provide excellent customer service by effectively addressing questions and concerns;
  • Ability to use general office equipment such as multi-line phones, copiers, printers, and computers;
  • Skill with computers, including word processing, electronic mail;
  • Knowledge of proper spelling, punctuation, sentence structure and grammar;
  • Ability to effectively communicate with co-workers and clients;
  • Ability to effectively listen, read, understand, and interpret information and ideas;
  • Ability to adapt to changing business needs, conditions, and work responsibilities;
  • Knowledge of privacy policies and ability to maintain confidentiality.

Qualifications

Minimum Qualifications:


  • Associate's degree and experience working in education and/ or administrative support
OR
  • High School Diploma/ GED and one year of experience working in education and/ or administrative support.

Desired Qualifications:
  • Database experience in SMS and Target X;
  • Experience working in and serving a diverse population.

Salary, Benefits, Conditions of Employment, Application Procedure

Salary and Benefits:

  • Rate of pay is $14.49 per hour.
  • Eligibility for benefits is in compliance with state rules and regulations.

Conditions of Employment:
  • Prior to employment, the candidate must pass a criminal background check;
  • If hired, you will be required to provide proof that you are either 1) a U.S. citizen, or 2) an immigrant whose status permits you to lawfully work in this country;
  • Completion of academic degree(s) will be verified through receipt of official transcripts at the time of hire.
  • Per Proclamation 21-14, employees must be fully vaccinated against COVID-19 no later than date of hire. As a condition of employment, the successful candidate will be required to provide proof of their COVID-19 Vaccination as part of the hire process. Exemption may be granted for religious or medical purposes, subject to approval based on the essential functions required of the position.
