We are looking for an Office Assistant to join our team and help us with administrative and clerical tasks. Your duties will include a wide range of activities in the office from filing and answering the phone to basic bookkeeping.


We expect you to be able to work diligently and help maintain smooth office operations, possess great communication skills and be reliable. You should also be familiar with office equipment and procedures.

This is a part-time position with 20-30 hours per week that will expand to a full-time position for the right candidate. The office is located just off Carrier Circle.

Essential Duties and Responsibilities


  • Assist customers in-person and via e-mail, phone, and live chat

  • Use office appliances such as photocopier, printers, etc. and computers for data entry, word processing, spreadsheet creation etc.

  • Manage files and records ensuring their relevancy and accessibility; use scanner to create digital records of files

  • Perform basic bookkeeping activities to include entering bills, issuing invoices, receiving payments, etc.

  • Manage incoming and outgoing mail, including travel to post office to retrieve and send mail

  • Attend meetings taking notes/minutes

  • Provide support for office management and organization procedures

  • Review office supplies and report in case of shortages

  • Make travel arrangements and book venues for conferences and events

  • Other office related duties as assigned

Eligibility Requirements

  • 18 years of age or older

  • Valid NYS Driver's License

  • 1+ years' experience in a similar role preferred; will train right candidate

  • High school diploma or equivalent

  • Time Management - able to use time effectively in an unsupervised fashion, pursuing other activities when regular duties have reduced volume; able to complete projects in a timely manner
  • Planning/Organizing skills - able to prioritize work activities, use time efficiently and work through large projects in a self-motivated manner
  • Adaptability - able to adapt to changes in the work environment, manage competing demands and able to deal with frequent change, delays or unexpected events
  • Computer knowledge - computer proficiency, which includes knowledge of word processing and spreadsheet software; strong knowledge of electronic communication systems; able to navigate internet competently
  • Problem solving skills - able to identify and resolve problems in a timely manner, gather and analyze information skillfully; able to apply independent judgement on regular basis in making decisions
  • Interpersonal skills - able to interact with co-workers and customers in a courteous, professional and effective manner
  • Math ability - able to perform basic math operations; able to apply concepts such as fractions, percentages, and rations and apply them to work related situations
  • Travel - Occasional local and overnight travel required, including interstate travel by air

The noise level in the work environment is usually low to moderate.
