POSITION SUMMARY:

The individual who fills the position of Office Coordinator will be a friendly welcoming individual with excellent organizational skills, knowledge of routine office procedures, and experience in working with Medicare, Medicaid, and private insurance plans. The Office Coordinator will be self-motivated and able to work successfully with the office team.

ESSENTIAL FUNCTIONS:

  • Organize and print the daily schedule, and welcome patients as they arrive;
  • Schedule appointments and follow-up appointments, verify insurance including obtaining pre-authorizations and continued eligibility through all providers including private insurers, Medicaid or MCOs;
  • Determine existence of co-pays and collect same when patients present for appointments;
  • Remind patients of pending appointments and reschedule as appropriate;
  • Create and maintain active files, and manage and organize information;
  • Ensure inactive files include all necessary information and store as directed;
  • Order supplies as indicated and serve as liaison with building management;
  • Monitor security of the facility, its files, and the petty cash/bank contained therein;
  • Be familiar with all aspects of the use and maintenance of the Electronic Health Record;
  • Produce data and regular reports as requested;
  • Monitor and facilitate all aspects of patient relations;
  • Participates in continued performance quality improvement;
  • Performs other duties as assigned.

MINIMUM REQUIREMENTS:

Education/Experience:

  • High school degree required;
  • Minimum of three years of experience in utilizing and managing databases;
  • Experience in medical office work preferred.

Skills /Knowledge:


  • Familiarity and experience in working with MCOs, Medicare, and Medicaid preferred;
  • Self-motivated and demonstrated ability to follow through to reach solutions for challenging issues;
  • Bi-lingual or multi-lingual skills preferred.

Physical Demands:

  • Required to frequently sit, stand, walk, bend, and drive for extended periods of time.
  • Required to lift/move objects and/or child weighing in excess of 40 pounds.
  • Must have the visual, hearing, and learning capabilities sufficient to perform the essential job functions defined above.

Environment and Scheduling:

  • Performs work in, and in association with Maryville program settings, including but not limited to the Crisis Nursery, schools, recreational facilities, court rooms, hospitals, and various community settings.
  • Duties involve contact with child(ren)/parents who may be hostile, dangerous, threatening, aggressive, suicidal and/or under the influence of drugs and alcohol.
  • Must be flexible in scheduling and willing to work weekend shifts.
