KEY RESPONSIBILITIES OF THE OFFICE MANAGER

The Office Manager reports to the Boston Office Lead and is expected to perform the following tasks:

General Office Management and Staff Engagement

  • Organize office engagement initiatives, contributing to a positive company culture.
  • Ensure a welcome, clean, and well-organized office space, including overseeing policies for hoteling, distribution of mail and packages, etc.
  • Answer reception calls and triage as appropriate.
  • Distribution of monthly office bulletins.
  • Coordinate volunteer staff engagement committees to execute regular events and activities.

Internal Recruitment and On-boarding

  • Provide logistical support for IMBO internal recruiting.
  • Process IMBO new hire paperwork, as well as IMBO internal transition and termination paperwork.
  • Coordinating with People and Culture to onboard new employees (e.g. facilitating anchor and mentor pairings, ensuring staff are prepared for start dates).

Support Office Lead

  • Manage and assist with all office-wide and staff group meetings, special events, and other strategic functions of the office.
  • Work with Office Lead on any office related projects as needed.

Facilities Management

  • Coordinate with the Finance Team regarding facilities needs, identify and execute on short- and long-term facilities projects; and ensure efficient use of firm resources and pursue cost efficiencies for office expenditures.
  • Review, refine and disseminate IMBO facilities related policies in line with firm-wide policies.
  • Serve as the primary liaison to all facilities-related stakeholders including building management, building maintenance staff and vendors; in collaboration with the Finance team perform an annual review of vendor contracts.
  • Manage office inventory including office supplies, furniture, kitchen, and bathroom supplies.
  • Oversee office hotel space to ensure appropriate workstations for all staff working in the Boston Office
  • Supporting remote staff, as necessary, with appropriate office equipment and supplies.
Requirements:

  • Bachelor’s degree and at least two years of relevant professional experience, preferably with office management.

  • Exceptional attention to detail.
  • Proficiency with Microsoft Office and prior experience with databases.
  • Exceptional written and oral communication skills.
  • Honesty, openness, and a healthy sense of humor.
