Summary:

The Office Services Associate will perform a variety of mailroom and office services duties to ensure packages are shipped and received, documents are scanned and recorded, and shipping projects are completed.

Responsibilities:

  • Arrange for and track incoming and outgoing shipments.
  • Determine shipping rates and other charges that apply.
  • Track shipments electronically and answer customers' questions about the status of their shipments.
  • Perform sorting, scanning, indexing, and tracking of scanned records for all warehouses and departments.
  • Pickup and deliver mail and packages using the company van to all company locations, including Headquarters.
  • Pickup and deliver mail to Post Office at scheduled times.
  • Process outgoing mail using postage metering equipment and scales.
  • Place proper postage according to postal specifications and discount program guidelines.
  • Prepare documents for mailing by folding and inserting them into envelopes using a computerized folding and inserting machine.
  • Assist various departments with miscellaneous projects and requests to alleviate their workload.
  • This may include initial credit application processing, A/R tasks, document retrieval, and sending correspondence to customers.
  • Manage copy center jobs and mass mailings for various departments using large-volume copiers, following specific instructions, meeting requested deadlines, and maintaining the confidentiality of documents.
  • Receive incoming mail, sort by departments or other identifiable means.
  • Deliver to individual departments.
  • Complete other assignments as deemed appropriate by management.

Requirements:

  • High School diploma or equivalent.
  • 0-1 year general office experience or equivalent.
  • May require licenses/certifications for operating company van, using worksaver and pallet truck. Requires lifting of 30-40lb boxes.
  • Proficiency in Word/Excel; Good attendance; organizational skills; multi-tasking, team player.
