Join us as an Onboarding Specialist
Brown Brothers Harriman is currently recruiting an Onboarding Specialist to join our Private Banking Team. This onboarding specialist position primarily supports the Account Opening/Maintenance/Closing and Client Asset Gathering functions. This role serves as the primary point person for opening new accounts, processing maintenance requests, transferring assets out of BBH for closing accounts via ACATs, DTC or book transfers, and receiving of assets for high net worth clients.
Some of your key responsibilities include:
  • Responsible for population, printing, mailing and scanning of contractual documents to ECMS
  • Partner with Front Office or work directly with clients to determine account structure, authorized signers, beneficiaries, etc.
  • Develop relationships with Private Banking Risk, KYC-AML, Tax Compliance, Private Banking Services, National Trust Company
  • Review trust and operating agreements, etc.
  • Review executed documents signed by the client for completeness
  • Review client’s current statements to determine if assets can be held in BBH/omnibus account
  • Complete Client Information Document and all KYC requirements for new accounts
  • Set up client for online access to web portal
  • Send welcome packages to clients
  • Responsible for processing maintenance requests and populating additional documentation for existing clients.
  • Review exception reports
  • Send change of address notices to clients
  • Initiate asset transfers via ACATs, Non ACATs, Internal Transfers
  • Initiate ACAT residuals and wires or checks via CRM
  • Coordinate with BBH Trade Settlements, ACATS, Mutual Fund Services, Vault, and Alternative Investments Group to transfer out specific security types
  • Identify and load additional assets (physical certificates, restricted securities, DRS/DWAC, mutual funds) that may be added to an existing account at BBH.
  • Monitor the R&A Break Report daily
  • Participate in UAT and Sungard Release Testing
  • Small projects involving data integrity, clean up, and process improvements.
  • Work with Systems and CRM Team to automate processes, integrate systems and workflows and enhance forms on CRM.
Qualifications:
  • BS/BA degree or equivalent work experience.
  • 0 to 2 years of industry experience.
  • Demonstrated PC skills
  • Ability to identify, escalate, and resolve problems/issues.
  • Ability to communicate professionally through effective verbal and written skills.
  • Demonstrates efficient time management skills and critical thinking.
  • Demonstrates organizational skills and a strong attention to detail.
  • Ability to multi-task and prioritize tasks.
  • Ability to work in a team environment.
  • Ability to meet deadlines and work under pressure.
  • Proactive self-starter who is goal oriented.
  • Knowledge of Microsoft Excel, UAF, CRM and Addvantage accounting systems a plus.
