Brief Summary of Job Duties

Under the general supervision of the Director of the ONDAS Student Center, the Program Assistant assists in the administration of the ONDAS Student Center.

Required Qualifications

  • High School diploma or GED.
  • Excellent communication and interpersonal skills to communicate effectively with all levels of staff, students, and faculty verbally and in writing.
  • Strong organizational skills, attention to detail, and the ability to handle multiple tasks with frequent interruptions.
  • Ability to exercise sound judgment, common sense, and discretion, when attending to issues and concerns.
  • Ability to work effectively and cooperatively as a team member.
  • Skillful with web and social media platforms.
  • 1-3 years experience working in an academic or office setting.

Preferred Qualifications

  • Bachelor's Degree or equivalent experience and/or training.

Job Functions/Percentage of Time/Duties

  • 60% Program Administration and Center Operations - Provides administrative assistance to the Director of the ONDAS Student Center and the Assistant Dean of Academic Success Initiatives. Assists in the coordination and implementation of ONDAS Student Center programs, workshops, and activities, including the development of new projects and programs. Corresponds frequently with students who utilize Center services and campus partners across academic affairs and student affairs (including faculty, advisors, and campus administrators); assists in managing student questions and concerns; provide mentorship to students; and contributes to the welcoming and supportive culture of the Centers. Helps to coordinate the Center's activities with other academic success initiatives within the Office of Teaching and Learning. Responsible for frequently assisting in Center workshop management, facilitation, registration, and operations day of events. Contributes to program administration and assists in day-to-day operations of Center and events. Develops and distributes communications to the campus community via email and social media, to promote Center programs and to keep different campus constituencies apprised of Center activities. Helps with the coordination, evaluation, and assessment of the Center by collecting, coordinating, and accessing data using systems such as Qualtrics, Apple iPad, Box, and Google Drive. Assists in the development and delivery of presentations to campus partners, prospective students, and visitors. Conducts outreach efforts to students in writing, verbally, and via social media. Assists in responding to Center inquiries via phone and email. In collaboration with Graduate Programs Assistants, coordinate with professors for programs like Table Talk, Dining with Faculty, and Professor After Hours. Responsible for assisting in general Center operations including, keeping inventory of office supplies, and marketing materials, keeping track of reorders, and informing the Director of needed supplies. Provides general tech support to Centers, including troubleshooting computers, iPads, printer malfunctions, and software updates. Assist in the organization of the Center and make sure it is up-to-date.
  • 30% Social Media and Marketing - Responsible for updating and coordinating the ONDAS Student Center Social Media and UCSB Platforms, including but not limited to: TikTok, Facebook, Instagram, YouTube, Linktree, Hootsuite, Shoreline and GauchoSpace. Along with the student staff, the Programs Assistant is responsible for relaying important Center information to students, advertising Center programs and activities, and posting relevant resources pertaining to the campus community. Assists in updating information on Center websites using Drupal content management system. Assists in production and distribution of online and print marketing materials, including managing and distributing the OSC newsletter. Develops and organizes content using email marketing software; tracks and updates email databases of both students and campus partners. Assist in general advertising, outreach, and public relations (spring insight, tabling, etc.) of the center.
  • 10% Student Staff Hiring & Training - Assists in the hiring, intensive training, and continuous training of student staff (including planning, developing, and scheduling trainings). Prepares presentations and training materials. Supports the mentorship of student staff on the development of new ideas and programs. Assist in shadowing and supporting on the job training for new peers.
