Order Entry Specialist Job at Van Holten's
This role is essential to our success and ensures our customers receive excellent care. You will work across departments to provide superb customer support and be responsible for order entry, order tracking, sample requests, and other customer-focused administrative tasks.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Execute daily order entry in an accurate and timely manner
- Monitor customer order patterns and suggest efficiencies when appropriate
- Manage and monitor orders email box
- Create and distribute daily open order report
- Create and distribute daily shipping report
- Coordinate timely sending of approved sales samples with the shipping department
- Provide accurate and friendly phone and email support to customers and brokers
- Assist customers and brokers with product related questions and other inquiries related to orders, scheduling, shipments, and invoices
- Troubleshoot and direct the resolution of customer issues and concerns using available resources
- Proactively communicate with customers, brokers, and sales regarding potential problems or issues
- Document and update customer records based on interactions
- Be an expert on Van Holten’s products and policies to effectively assist customers and brokers
- Support Sales Operations manager to maintain customer information into our ERP system
- Assist accounting and sales to resolve discrepancies due to pricing, shipping, and quality issues
- Provide information and resources to the involved parties to help resolve deductions quickly
- Provide input on the efficiency of customer service processes to foster continuous improvement
- Back up for office administrative duties: answering phones, greeting guests
- Cross-train in other office and administrative tasks
- Other duties or projects as assigned by supervisor
PREFERRED QUALIFICATIONS AND SKILLS
- Customer service experience
- Data entry experience
- Positive, resilient, and service-oriented
- Excellent verbal and written communication skills
- Proactive problem solver
- Skilled in organization, prioritization, and attention to detail
- Ability to work independently and as part of a team
- Knowledge of Microsoft Excel and basic spreadsheet navigation
- Proficient in MS Office Suite with knowledge of SharePoint
- Familiarity with ERP systems
- Familiarity with EDI order processing
- Adaptability to new technology
- Enjoys working within a diverse workforce
- High integrity and ethical standards
SCHEDULE, CONDITIONS, & PHYSICAL REQUIREMENTS
- Standard Schedule: Monday through Thursday 8AM – 5PM, Friday 8AM – 4:30PM - ½ hour lunch and every other Friday afternoon off
- Work will be performed in a typical office environment
- Able to work at a computer for long periods of time
- Able to sit for long periods of time
