Overview of position:
The Records Evaluator is responsible for analyzing and interpreting incoming academic transcripts and other official documents to determine transferability of credit in conjunction with admissions processes. The position involves working closely with admissions staff, academic advisors, faculty, students, and other members of the Registrar’s office. The primary focus will be on timely and accurate evaluation of incoming transcripts, determining academic credit, and applying that credit to student records through the student information system.
Major Responsibilities:
  • Evaluate academic transcripts of undergraduate and graduate applicants to include evaluation of various types of academic credit: CLEP, Advanced Placement, military, and international, in accordance with admissions policies and procedures.
  • Update student transcripts to reflect transfer credit and attendance at previous institutions.
  • Conduct research to determine transferability and applicability of college-level coursework using a multitude of resources including course descriptions, college catalogs, faculty expertise, and web tools.
  • Perform student record maintenance including major changes, concurrent enrollment, and final transcript review.
  • Comply with all published college policies and procedures and apply thorough knowledge of state laws and regulations regarding transfer credit, general education, course prerequisites, and applicable catalog year.
  • Utilize multiple systems simultaneously to maintain accurate recordkeeping including Microsoft Office, Ellucian Colleague, Soft Docs, Slate, Salesforce and Business Objects.
  • Ability to perform complex and technical office and operational work with accuracy and a strong attention to detail.
  • Provide customer service by assisting students, visitors, and staff with records and registration policies and procedures.
  • Other duties as requested by manager
Required Qualifications:
  • High school diploma required. College level course work preferred.
  • Minimum of one year of office experience requiring exceptional attention to detail, a high degree of accuracy and records maintenance.
  • Strong customer service and communication skills with the ability to serve students, staff, and faculty in a professional manner required.
  • Dependable individual with strong organizational skills and the ability to work independently required.
  • Demonstrated proficiency with technology to include and not limited to student information systems software and Microsoft Office applications (Word and Excel) required.
  • Ability to handle confidential information required.
  • Demonstrated understanding of partner institution transfer credit and academic policies, curriculum, and program requirements preferred.
