Dental office experience is preferred but not required. Remote work is not an option for this position.

PATIENT CARE COORDINATOR SCHEDULER’S DAILY DUTIES:

The scheduler side of the Patient Care Coordinator’s position provides a well-run scheduling flow for the dental office. They will ensure appropriate services are attached to the appointment. Keeping the schedule productive, filling openings, and confirming patients are aware of their visit. May also assist with general front office duties, including this generalized list of tasks:

OPENING DUTIES

  • Review the schedule and make adjustments after checking voicemail and email.
  • Prepare for the morning huddle and participate with the scheduled information.
  • Ensure the reception area is clean, tidy, and stocked for our patients. (Throughout the day) Make sure supplies are stocked; if not, place an order with the office manager.

DAILY RESPONSIBILITIES INCLUDE:

  • Greeting and welcoming patients to the practice.
  • Taking patient photos and uploading the picture into the chart
  • Being the first to answer telephones in a friendly, professional, and efficient manner.
  • Checking patients in when they arrive.
  • Assisting patients in filling out information forms.
  • Scheduling, rescheduling, or canceling appointments as needed.
  • Manage the schedule optimally and efficiently so that each patient receives the highest quality of dental care.
  • Confirm the doctor’s schedule for the next day's appointments according to protocol.
  • Check the patient quick-fill list to fill in cancellation and no-show appointment times.
  • Oversee patient relations, handle patient complaints and help explain office policy to patients.
  • Document in patient chart notes from phone or in-person conversations when appropriate.
  • Accurately document and file patient information in compliance with HIPAA privacy and security regulations.
  • Sort, organize and distribute mail.
  • Prepare and distribute New Patient Gifts.
  • Performing general office duties

  • Faxing daily reports
  • Knowledge of the dental insurance game to help patients use and understand their benefits.

Patient Care Coordinator Requirements:

  • High school diploma or GED.
  • Working knowledge of general administrative practices.
  • Good telephone etiquette.
  • Exceptional organizational skills.
  • Excellent customer service skills.
  • Proven experience working in a dental office and sound knowledge of dental terminology is advantageous.
  • Being proficient in dental practice management software (Eaglesoft) is a plus.
