POSITION SUMMARY:

Acts as a representative in all areas of clerical support. Assumes responsibility for all facets of front desk operations, including greeting and registering patients, answering phones, scheduling appointments, entering patient charges and demographics, retrieving and updating medical records, collecting fees and performing general clerical and other duties as assigned in accordance with Joint Commission, NCQA and government standards, as well as policies and procedures of PPA.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Under the direct supervision of the Practice Manager and within established policies and procedures, the incumbent performs the following essential functions:

1. Processes daily charge tickets for incoming patients and processes provider daily schedule.

2. Greets and registers patients; notifies medical staff of their arrival.

3. Verifies current address and insurance status.

4. Photocopies and inputs patient demographic information, insurance data and all other information.

5. Interacts with patients regarding complaints for effective and immediate response and resolution. Refers to Office Coordinator or Practice Manager as appropriate.

6. Receives incoming telephone calls, either directly or from the switchboard and takes messages if appropriate.

7. Uses appropriate company procedures, referring doctors and correct protocols for writing referrals. Schedules referral appointments with specialists, hospital tests and lab work.

8. Supports the discharge of patients from the office. Collects payments and charges the patient at time of service. Uses all ICD-9 and CPT coding to ensure correct charging and posting to patient accounts. Views batch for appropriate CPT and ICD-9 codes, balances the batch and completes batch control tickets.

9. Maintains providers’ schedules, optimizing effective scheduling of appointments. Confirms appointments for daily schedule.

10. Interacts and communicates professionally with co-workers, management and patients.

11. Ensures confidentiality of employee, legal, client, budget, and all other company matters.

12. Assists in developing and implementing systems to support effective and accurate registration of patients. Makes recommendations to increase efficiency of patient care or administrative functioning of area.

13. Assists in orientation of new employees to office functions, shares pertinent information and effectively teaches others to perform tasks accurately and effectively.

14. Performs similar or related duties as assigned or requested.

KNOWLEDGE, SKILLS AND ABILITIES:

Individuals must possess the following knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities and to possess the necessary physical requirements, with or without the aid of mechanical devices to safely perform the essential functions of the job:

1. Ability to exert up to 10 pounds of force frequently and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

2. Ability to endure periods of heavy workload or stress.

3. Ability to work with frequent interruptions and respond appropriately to unexpected situations.

4. Ability to interact with irate customers.

5. Ability to interact with physicians and staff and participate as a team member with individuals inside and outside the department.

6. Visual acuity sufficient for work which deals largely with preparing data and figures, accounting, transcription, computer terminal operation, extensive reading and visual inspection of small parts/devices.

7. Ability to file alphabetically and numerically; general computer knowledge and skills; ability to perform basic math; working knowledge of ICD-9 and CPT coding and insurance procedures.

8. Ability to transport self to and from off-site locations.

Education:

· High school diploma or equivalent.

Experience:

· Two to three years’ experience in health care setting performing similar work activities including, but not limited to clerical, billing or insurance processing.
