A growing business services company with almost 5,000 employees operating in multiple states. This position will be based in the Corporate office located in Morris County, NJ.

Position Overview
Reporting to the Payroll Manager, the qualified candidate will be responsible for various aspects of the payroll function for hourly employees.
Responsibilities:
Payroll Specialist Job Duties:
  • Maintains payroll information by ensuring the proper design of systems & processes; overseeing the collection, calculation, and entering of payroll data.
  • Work together with HR to update payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/ division transfers.
  • Pay employees by directing the production and issuance of paychecks or electronic transfers to bank accounts for the company’s weekly and bi-weekly payroll cycles
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Determines payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer's social security, unemployment, and workers compensation payments.
  • Provides payroll information by answering questions and requests.
  • Maintains payroll guidelines by writing and updating policies and procedures.
  • Complies with federal, state, and local legal requirements by studying existing and new legislation; comply with union agreements; enforcing adherence to requirements; advising management on needed actions.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Primary point of contact for payroll audits (workers comp & liability insurance, state tax)
  • Contributes to team effort by accomplishing related results as needed.

Now the requirements
  • Bachelor’s degree from an accredited institution, Master’s a plus
  • 10+ years Executive Leadership in the Janitorial, Concierge, Security and Maintenance industry
  • Excellent working knowledge of Microsoft Office Suite and other applicable programs
  • Solid working knowledge of budgeting, sales, business development, and strategic planning
  • Strong project management skills
  • Proven interpersonal and leadership success
  • Excellent analytic and problem-solving skills
  • High level of written and oral communication skills

Required Skills/ Experience:
  • 4 -5 years of experience in a payroll function – payroll for a large number of hourly employees (at least 500 employees) – preferably in the service industry
  • Ability to handle sensitive information and maintain a high level of confidentiality
  • Bi-lingual (English & Spanish fluency)
  • Advanced level experience using various payroll software solutions: Ulti-pro, ADP, Paychex or other software solutions
  • College degree (preferred)
  • Problem solving skills
  • Proficient at MS Office (especially Excel)
  • Team Player
  • Highly organized
  • Ability to work in a fast-paced environment including working overtime hours as necessary
