Overview:

The Print and Mailroom Coordinator provides administrative support for various functions within the District, by offering printing and mailing services and operating the reception for the District corporate office. This position performs a variety of tasks that involve printing, editing and reviewing documents that requires strong organization and technology skills, and responds to daily project requests. Employees in this position must have the ability to multitask, work within a team environment and foster a proactive approach to completing daily tasks.
Responsibilities:
Essential Functions:
  • Reviews and processes project requests received daily through SharePoint, prioritizing and adhering to due dates to ensure deadlines are met.
  • Supports District entities to provide administrative support on ad hoc projects when staffing is not availabe. Assists other coworkers and departments by offering administrative back up support for special projects.
  • Prints and copies documents at a production level consisting of a variety of print projects including laminating, binding and editing documents. Analyzes information and evaluates results to choose the best solution and outcome.
  • Inspects and troubleshoots equipment to identify the cause of errors or other problems to ensure that there is no interuption to our daily printing productivity. Completes weekly preventative maintenance.
  • Answers questions from District employees for the purpose of providing general information about projects or project status inquiries.
  • Prints a wide variety of forms, booklets, pamphlets, posters and other materials. Prints, laminates and assembles documents in accordance with the work request specifications.
  • Provides quality assurance measures to ensure the final product is correct and according to specifications. Inspects completed jobs for the purpose of ensuring work meets specifications, quality standards, and quanity requirements prior to final Manager review.
  • Process daily voucher letters and mails to customers.
  • Facilitates receiving purchase orders for to ensure timely payment of invoices.
  • Reviews and completes enrollment data entry of the Maternity Care Program. Responsible for accurate and prompt data entry. Creates enrollment packet. Orders, prints and mails enrollment materials to applicants. Responds to follow-up inquiries from SOBRA workers about eligibility information for their clients.
  • Completes special projects for C. L. Brumback Clinics, Lakeside Medical Center and the Corporate office. Prints and mails various outreach correspondence to C. L. Brumback Clinic patients.
  • Maintains copy paper and envelope inventory for the corporate office.
  • Copies and maintains all Clinic Patient Medical Home folders for new patients and distributes to the clinics each month.
  • Prints all Lakeside Medical Center Financial Forms and documents for admission packets and distributes them accordingly.
  • Processes and mails billing statements for Lakeside Medical Center.
  • Performs computer data entry tasks to update and maintain various department records, charts, reports, and files.
  • Operates a variety of modern office equipment in performing essential functions (e.g., copy machines, letter opener, letter folder, postage meter, digital cutter, telephone systems, computer terminals, and printers).
  • Maintain and monitor postage meter machine; monitor and implement postal regulations, fees and standards; Orders and prints monthly postage report for finance reconciliation purposes.
  • Prepare special mailings including express mail and registered mail, Fed Ex and courier services.
  • Processes all undeliverable mail. Updates respective operating system identifying on the member or patient record. Provides outreach to members and patients to update the operating systems with accurate data.
  • Maintains knowledge of various District plans and departmental policies and procedures. Processes, sorts, stamps, and distributes incoming mail and delivers to appropriate departments. Processes all outgoing mail for the Home Office and Clinics.
  • Initiates good customer service by: making efforts to listen to and understand the customer (both internal and external), anticipating customer needs, and, giving high priority to customer satisfaction. Functions in other administrative capacities as necessary.

RECEPTION SERVICES


  • All Print and Mailroom Coordinators are trained to work in the reception on a rotating basis at the corporate office. Responsibilities include:
    • Serves visitors by greeting, welcoming, and directing them
    • Notifies company personnel of visitor
    • Completes SharePoint project requests as directed by
    • Maintains security camera and telecommunications
    • Responds to visitor and telephone Stays informed of changes in the District and website updates.
    • Maintains visitor, vendor and subpoena Follows procedures associated with each log.
    • Receives daily deliveries from UPS, Fed Ex and S.P.S.
    • Sorts, date stamps incoming U.S.P.S mail daily.
    • Acts as a liaison between the department, other departments, and outside agencies, gathering and relaying information as needed.
  • Emergency duty may be required of the incumbent that includes working in Red Cross shelters or to perform other emergency duties including, but not limited to, responses to threats or disasters, man-made or natural.
  • Represents the District at community events in the evenings and on weekends, as needed.
  • Acts as a liaison between the department, other departments, and outside agencies, gathering and relaying information as needed.
Qualifications:
Education:
  • High school diploma or GED required. Associate's degree in Business Administration, Marketing, or Health Services preferred. Bilingual speaking (i.e. spanish) preferred.

Experience:
  • One (1) to three (3) years of previous administrative support experience required, preferably in a Heath care setting. The ability to perform moderately complex administrative support functions. Previous Knowledge of United States postal rates, regulations and procedures or Mailroom experience a plus. Previous knowledge in print shop or production printing experience a plus. Customer service experience preferred.
