Reporting to the Vice President for Finance and Administration, this position provides direct support to the Vice President for Finance and Administration, Chief Human Resources Officer, AVP for Financial Planning & Budget, and the AVP for Finance and Controller. Support advancement of departmental objectives and projects for the Division through meeting coordination and scheduling, management of office workflow and communication, and meeting and activity preparation and proactive follow-up. Support Board Committees through the development of comprehensive board packages and minute-taking. Possess strong judgment, an ability to handle confidential data with discretion and communication skills needed to interact with a variety of people and job functions. Take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Essential Functions

  • Project management support for office initiatives (50%)
  • Provide project management support for office initiatives (e.g. budget development, year end close/audit)
  • Support production, review and assembly of Board Committee materials, including creation and editing of packages and presentations using Adobe, PowerPoint and/or Google Slides and charts and graphs using Excel and/or Google Sheets
  • Manage data collection, review and presentation of peer comparison and other data sets to support analysis and decision making

Administrative support (50%)

  • Anticipate and provide for the immediate and long-term administrative and organizational needs of the Finance & Administration Office, provide problem-solving and triage of incoming requests and issues via telephone and email etc.
  • Support leadership's daily activities: organize preparatory materials, follow up and delegate action items; take primary responsibility for management of regular meetings and activities led by leadership
  • Manage communications in and out of the office via paper, phone, email, including writing draft communications for the office and review and proofreading of meeting materials, presentations, etc.
  • Support Board Committee meetings by taking and writing meeting minutes; support Committees of the Academic Council through scheduling and minute-taking
  • Contribute to departmental websites including content creation, edits and formatting; collaborate across departments to ensure accuracy and quality of information
  • Manage departmental expenses and department purchase card coding; assist with general maintenance of departmental budget as needed
  • Assess and improve various administrative processes
  • Manage calendars for area leaders; coordinate travel arrangements as needed

Other

  • Attend and represent F&A office in various organizational settings
  • Other special projects and duties as assigned
  • Participate in the college's efforts to create a respectful, inclusive and welcoming work environment

Minimum Qualifications

  • Bachelor's degree preferred.
  • Minimum 3-5 years related experience.
  • Excellent time-management, organizational and communication skills.
  • Ability to maintain confidential and sensitive information and exhibit strong professional judgment.
  • Able to work independently and collaborate with others.
  • Ability to manage concurrent projects and multiple priorities.
  • High degree of flexibility and adaptability.
  • Skills with Word, Excel, and PowerPoint and Adobe required.
  • Knowledge of and/or experience with the Workday ERP system a plus.
