Job Purpose


The Project Administrator shall be responsible for organizing, facilitating, analyzing and reporting for projects to ensure timely completion within budget.


Duties and Responsibilities


Responsibilities

  • Develop understanding of the scope, goals and timeline of each project
  • Communicate on a regular basis with project team and customers regarding project schedule
  • Manage and communicate project changes due to weather, change orders or delays
  • Develop knowledge of production operations
  • Develop understanding of management of projects and production crews
  • Prepare and maintain job folders, COI’s, submittals, and contracts
  • Maintain project dashboard
  • Update and track Smartsheet
  • Obtain and track all subcontractor requirements
  • Organize uploaded project photos on server
  • Manage data entry of Salesforce.com
  • Maintain SDS and procedure binder updates
  • Assist with interviewing production staff
  • Assist with crew member safety reviews
  • Assist with job supervisor handoff meetings
  • Monitor production crew scheduling versus time off cycles
  • Maintain and document crew vacation requests
  • Prepare project work orders for materials and rentals
  • Make reservations for overnight accommodations for crews
  • Schedule delivery and removal of dumpsters, portable toilets and equipment rentals
  • Communicate regularly with track logistic drivers and third-party truckers for schedule updates to coordinate material and equipment logistics
  • Monitor and maintain inventories of production supplies and materials
  • Prepare purchase orders for all material and supplier requisitions
  • Prepare and collect material Bills of Lading
  • Coordinate scheduling of washing, striping and surveying services
  • Coordinate and schedule asphalt inspection schedule
  • Coordinate and schedule flood tests
  • Review and investigate project cost variances
  • Offseason - Evaluate project estimate variances and provide feedback to sales
  • Offseason - Research and develop improved ways to perform track installs
  • Offseason - Develop and update production procedures

Qualifications


  • Education: Associates degree or at least two years of experience in a similar role
  • Communicate professionally with employees, customers and vendors
  • Proficiency with computers and Microsoft Office suite of programs
  • Must be neat and extremely well-organized
  • Ability to work well as part of a team
  • Attention to detail
  • Positive attitude
