Our client, Justice and Sustainability Associates is hiring!

JSA is seeking professional Project Coordinators who can manage simple and complex tasks to ensure our programs and projects are delivered with high quality and excellence. In this role you will be responsible for supporting all forms of project and program management activities. The Project Coordinator manages project-related resources and information and is responsible for scheduling and planning meetings and events. The Project Coordinator contributes to the entire project lifecycle, engaging in additional duties and obtaining expertise in specific areas as required.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Meeting & Event Coordination

  • Organize and attend stakeholder and client meetings
  • Manage various aspects of the event planning process, including collaboration with subcontractors, venue identification, menu development, printing and design of materials and budget tracking
  • Distribute meeting materials and ensure all key stakeholders and participants receive access to documentation
  • Serve as rapporteur in key meetings using select frameworks when applicable
  • Document and follow up on important actions and decisions from meetings
  • Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project

Project Management

  • Develop an in-depth understanding of project scope and particulars (i.e., timeframes, project context, outcomes)
  • Act as a point of contact by managing relationships with clients and providing information and regular support to stakeholders
  • Support and attend meetings with clients
  • Support the communication and coordination of staff and internal resources
  • Meet with project team members to identify and resolve issues
  • Coordinate with cross-unit team members to make sure that all parties are on track with project requirements, deadlines, and schedules
  • Capture and record hours and expenses related to a given project
  • Help ensure project deadlines are met

Collateral Development & Production

  • Develop informative collaterals (signs, palm cards, banners, etc.) that help increase public knowledge about a specific project
  • Collaborate with local vendors on production materials
  • Ensure proper organizational branding and client representation on all collateral materials

Inbox & Calendar Management & Coordination

  • Create and manage project management calendar for fulfilling each goal and objective
  • Update, modify and manage schedules in real time using Google calendar
  • Generate labels and filters for specific projects using G-Suite as well as Office 365
  • Assess communication priorities and alert administration to respond to key issues

Documentation Development & Management

  • Initiate project folders and ensure proper maintenance of project folders based on JSA protocols and procedural alignments
  • Create and maintain accurate directory lists for administrative leaders, key stakeholders, and project participants
  • Create and maintain comprehensive project documentation to support scheduling, organization, and implementation of deliverables (i.e., Gantt chart, project log, statement of work, fee schedule, etc.)
  • Capture and record hours and expenses related to a given project
  • File documents in appropriate project folders via project log, communication, and meeting log, as well as tracked expenses log

Additional Duties

  • Provide administrative support as needed
  • Develop project strategies
  • Assess project risks and issues and provide solutions where applicable
  • Undertake additional project tasks as required

REQUIREMENTS:

  • Previous experience in related field (alternative dispute resolution, business administration, event planning and coordination etc.)
  • Commitment to building justice and sustainable communities, and guided by values of integrity, honesty, and collaboration
  • Demonstrated administrative capacity to coordinate events and/or organize meetings
  • Excellent client-facing and internal communication skills, with an ability to communicate with people of diverse cultural and socio-economic backgrounds

  • Basic computer skills, including proficiency with Microsoft Office and Google Drive
  • Ability to work effectively both independently and as part of a team
