VCU's Office of Medical Philanthropy and Alumni Relations (MPAR) brings together proficient, skilled, and passionate fundraising professionals who drive mission-critical fundraising for medical-based units at VCU and VCU Health. As a fundraising unit within the Virginia Commonwealth University’s Office of Development and Alumni Relations (DAR), the MPAR team maximizes philanthropic support by engaging stakeholders for VCU Massey Cancer Center, VCU Health, and the VCU School of Medicine. This is an exciting opportunity to join the growing Office of Medical Philanthropy and Alumni Relations as we prepare for VCU’s next comprehensive campaign.

MPAR is seeking an organized and collaborative Project Coordinator to provide project management and administrative support to the executive director of strategic engagement. As a member of the MPAR strategic engagement team, the Project Coordinator will support a wide variety of activities affiliated with multiple strategic engagement teams (communications, annual giving, board and hospital relations, stewardship, and events.)

In this role you will:
  • Serve as a project coordinator for strategic engagement team activities, utilizing project management software
  • Manage multiple projects independently or as part of a team, from inception through implementation
  • Provide administrative support to the team including scheduling internal and external meetings, event planning and execution, travel arrangements, and record keeping
  • Maintain working knowledge of office priorities and deadlines, support budget reporting and maintenance
  • Collaborate and coordinate with internal stakeholders on a variety of projects including the annual holiday cards, award nominations, events, and team training
  • Coordinate correspondence with donors, volunteers and other stakeholders
  • Prepare executive director and strategic engagement team for collaborative meetings, ensuring agendas are prepared, notes are taken and distributed, and follow-up meetings are scheduled
  • Serve as back-up administrative support for strategic engagement teams during times of transition and high-volume
  • Answer inquiries from stakeholders in a professional and timely manner
  • Solve day-to-day issues ranging from those of a routine nature to those of complexity using knowledge of VCU’s organizational structure, policies/procedures, office protocols, strategic priorities, and best practices in a fundraising environment
Required qualifications:
  • Undergraduate degree from an accredited university or equivalent experience in a fast-paced, complex environment
  • Ability to work both independently and as part of a team
  • Ability to manage time effectively, prioritize work and handle multiple projects simultaneously
  • Experience solving problems, prioritizing tasks and being self-motivated to execute assignments in a fast-paced environment with tight deadlines
  • Demonstrated excellent interpersonal, oral and written communication skills with experience writing professional communications
  • Demonstrated experience working in and fostering a diverse faculty, staff and student environment and commitment to do so as a professional employee at VCU
  • Able to provide a high-level of customer service
  • A commitment to maintain the confidentiality of donor information and strategic project planning
  • Experience with MS Office Suite software including MS Word, Excel and PowerPoint. Proficiency in G-suite products including Gmail, Google Drive, Sheets, Forms, Slides. Experience using project management software such as Wrike, Asana, Monday
Preferred qualifications:
  • Previous experience working in university advancement
  • The desire to use project management software on a daily basis
  • Experience working with constituent record management systems
  • Demonstrates an enthusiasm for learning new software platforms
  • Previous experience managing an executive calendar as proxy and light fiscal duties (budget tracking and managing reimbursements)
