Duties included but not limited to:
Answer and direct all incoming/outgoing communications. Provide assistance when possible and route to appropriate staff member.
Primary liaison to Unit Owners, building staff, contractors and vendors.
Monitor, coordinate and maintain daily reports of all incoming/outgoing materials for the building.
Create, update and file all documents for contracts and projects.
Create and maintain various filing systems in an accurate and organized manner. Review, purge and forward files to appropriate storage location in accordance with company record retention policy.
Maintain and update employee, clients and customer contact databases.
Create/update mail merge data base and prepare correspondence for large mailings.
File and notify appropriate parties of all incident reports.
Organize, compile, and prepare reports for distribution.
Order and maintain adequate supply of departmental office supplies.
Organize all conference room virtual and in person meetings.
Transfer data from the engineer’s report to SPDES website for DMR Reporting.
Work with GM and Engineer’s to obtain updates for CEP Quarterly Audit and enter into system.
Work on PCard code expenses and attaching receipts.
Follow-up with building staff to ensure service requests are completed.
Coordinate Unit Owner meetings, trainings and events.
Assist with coordination of Unit Owner move ins and outs.
Interact with Unit Owners to foster ongoing relationships.
Manage contractor/vendor and Tenant certificates of insurance.
Coordinate access/freight elevator for contractors/vendors.
Update Building and Unit Owner Emergency Contact lists and Response Manuals.
Prepare electronic Daily project activity list for Engineering, Security and Janitorial.
Monitor work orders in Building Engines and ensure all requests are responded to timely.
Assist teams with updates.
Liaison between tenants and building engineers, security and janitorial.
Assist with budgets, financial reports, reconciling A/R and coding invoices.
Assist with other special requests or projects as requested.
