The Project Administrator’s primary responsibility is for supporting the objectives of the United South and Eastern Tribes, Inc. (USET) multi-year grant projects and other programs. The work will require judgment, planning, and project coordination in completing tasks. Ongoing project management skills required to coordinate the work of multi-disciplinary teams in meeting program and grant objectives on time over multiple year periods.

Exempt/Non-Exempt and Salary Range:
The Project Administrator is an exempt position requiring occasional travel and irregular work hours, with a salary range starting at $49,369.00 per year.

Reporting Relationship:
The Project Administrator is supervised by the Tribal Health Program Support Program Manager.

Location:
Nashville headquarters

Duties and Responsibilities:

  • Proposal Development:
  • Manage all aspects of the proposal development process
  • Serve as the liaison and facilitate collaboration with THPS staff, consultants, subcontractors, funding agencies, and all other contributors to organize and produce high quality competitive applications and reports.
  • Design proposal outlines.
  • Review funding announcements to interpret guidelines, agency policies, technical, financial, and administrative requirements.
  • Maintain an updated calendar for grant applications/proposals submission and reporting timelines.
  • Organize and compile all components of proposals, ensure that all requirements are addressed thoroughly, and review overall application for accuracy and completeness.
  • Project and Grants Management:
  • Provide assistance to THPS staff regarding grant application-related tasks, including budget monitoring and modifications as projects progress, various funded project issues, and grant close out.
  • Assist with startup of newly funded grants, including review of all grant awards, response to follow-up documentation, determine future grant requirements, and enter relevant information into grants database.

  • Coordinate work plans and timelines for projects especially those involving cross disciplinary professional teams working on complex multi-year projects
  • Review all Notice of Awards Conditions with appropriate project director and USET Controller.
  • Maintain well organized filing systems for all grant application-related supporting documents, as well as required documentation in compliance with USET THPS and funding agency requirements (electronic and hard copy).
  • Editing and Technical Writing:
  • Review and edit documents for THPS projects, including grant applications, progress reports, final project reports, informational brochures, training manuals, project plans, policy and budget analysis, and other related documents.
  • Write, design, and organize templates for grant proposals, continuations, and letters of intent and support.
  • Funding Research:
  • Search for appropriate funding opportunities that align with the priorities prescribed by member tribes for THPS, as well as USET Tribes.
  • Notify THPS staff and Tribes of appropriate funding opportunities that support their specified interests in order to continue funding stability.
  • Other duties:
  • Provide technical assistance to partnering organizations and collaborators.
  • Support various development and marketing efforts as needed.
  • Provide evaluation support to projects as needed.
  • Perform literature searches related to grants and proposals as needed.
  • Performs other duties and assignments as directed by THPS Supervisor.
  • Participate in THPS meetings and activities on a regular basis.

Qualifications:

  • A minimum of an associate degree from an accredited college with experience in grant and project management preferably public health, health promotion, or disease prevention.
  • This position requires demonstrated experience in managing complex projects with numerous participants; both internal and external.
  • This position requires knowledge of grant funding and management
  • The incumbent will demonstrate a high level of proficiency in technical editing and writing.
  • The incumbent must be proficient with the use of routine office software, such as Microsoft Word, Excel, Publisher, Outlook and PowerPoint, as well as Adobe Acrobat.
  • Cultural sensitivity and ability to work within the customs and traditions of various tribal groups.
  • Must possess excellent verbal and written communication and organizational skills.
  • Ability to travel and work irregular hours.
