Real Estate Transaction Manager
ACCOUNTABILITY STATEMENT
The incumbent is responsible for supporting the Asset Manager, Vice President of Real Estate Acquisition and Senior Vice President of Corporate Real Estate and Security. This position is responsible for managing the company real estate portfolio consisting of ATM ground leases, office leases, retail leases and diverse license agreements. This position assists in company property acquisitions, including due diligence, to support the company’s growth organically and through merger and acquisitions. This includes land and property purchases and required transaction administration to grow the company’s branch, ATM and regional office/ancillary facility network in a large rapidly expanding service area. This position is also responsible for supporting all property dispositions, subleases and other agreements to dispose of or utilize unproductive real estate assets.
ESSENTIAL JOB FUNCTIONS
- Manage and coordinate property acquisition and disposition documents for all Letters of Intent (LOI), Purchase and Sale Agreements (PSA), leases, subleases, licenses and other agreements to control or dispose of real estate assets. Oversee all aspects of document retention required by the company’s records retention policy
- Perform real estate lease portfolio administration. Responsibilities to include; input and maintenance of all pertinent information (rent schedules, rent escalation dates, option periods, option dates, notice provisions, lease expiration dates, etc.), accurately track and monitor all leased properties (branches, offices, drive-thrus and remote ATM) to ensure ample time for renegotiations, terminations, rent adjustments, the exercise of options, etc., request Certificates of Insurance (COI) from Corporate Insurance, coordinate lease documents with Legal, obtain necessary signatures, send fully executed documents to 3PRM and Accounting, draft and submit lease renewal notices in timely manner, prepare rent vouchers and submit for approval and processing.
- Manage company real estate transactions to include the purchase closing process and lease execution activities. Work with Legal and outside Counsel to administer all aspects of document retention required by the company’s records retention policy and track and monitor all pertinent lease terms, including the processing of payments, exercising of options and other pertinent business terms, rights and obligations. For mergers and acquisitions, integrate property records and lease administration within the department.
- Assist with site selection and due diligence required to assess potential property acquisitions during the site selection process, Inspection Period under a PSA or prior to lease execution under a lease. For purchases, this includes coordination of surveys, environmental assessments, seller property documents and other matters impacting the property.
- Assist Operations and brokers in refining remote ATM site selections to ensure achievement of the Remote ATM Expansion Plan specific to accessibility, visibility and a potential ATM location within the center. Negotiate lease terms and oversee the complete transaction. Assist consultants as needed to obtain site plan approvals, distribute final plans to the construction team and effectively communicate project status updates with team members.
- Participate on the Merger and Acquisition (M&A) team by providing valuable and effective communication to favorably support the M&A organizational goals. Assist with sourcing, analyzing and performing due diligence on the proposed properties and facilities to include coordinating and confirming the title review with Legal and outside counsel, assessing the condition of the property with architects/engineers for owned properties, reviewing zoning guidelines, recognizing liens against the property, evaluating other facilities related matters such as leases, contracts and utilities and contributing to the transition plan and post-merger/acquisition environment.
- Lead special projects and oversee the delivery of resources in the development of work plan schedules and milestones, prepare scopes of work, review cost estimates, manage budgets and oversee quality control to identify risk and achieve project goals.
- Assist with department initiatives and other duties as requested.
- The position includes assisting typical office administration responsibilities.

ESSENTIAL JOB FUNCTIONS
Regularly interacts with back-office support departments and branch staff on multiple support levels. Prompt, professional and courteous responses are required.
JOB KNOWLEDGE, SKILLS & ABILITIES:
- Ability to read, analyze, negotiate, edit and finalize legal and other complex business and real estate documents
- Significant real estate transaction experience
- Ability to motivate and negotiate effectively with key stakeholders, employees, senior management, contractors, vendors and owners to initiate desired action
- Demonstrate ability to identify project risks, lead constructability reviews, develop risk mitigation and contingency plans and implement action plans to reduce or eliminate project risks
- Proficiency in reading surveys, conceptual drawings, site plans and architectural, engineering, and construction drawings
- Solid experience in lease administration and understanding of lease negotiations and the ability to read, understand and apply standards to complex documents affecting real estate lease transactions and projects, including but not limited to leases, contracts, agreements, easements, surveys, site plans, and covenants and restrictions, ordinances, covenants and restrictions, geotechnical and environmental reports, conceptual drawings, civil engineering drawings and architectural drawings
- Liaise with leadership, brokers, Legal and Insurance regarding property negotiations
- Participate in expansion and M&A activities with internal stakeholders and external consultants
- Broad knowledge of financial terms and principles. Ability to conduct financial/business analysis, prepare budgets and forecasts for projects of varying sizes
- Ability to solve problems and deal with a variety of alternatives in various situations, and prioritize based on changing requirements
- Knowledge of the procurement services, competitive bidding practices, proposal review processes and contract awarding activities to selected contractor, RFP, RFI and American Institute of Architects (AIA) documents with the assistance of Legal, Insurance and 3rd Party Risk Management
- Familiarity with accepted building practices, materials and techniques, common and general code requirements, American Disabilities Act (ADA) requirements, mechanical systems and components, permitting processes and requirements, Notice to Owner documents and lien waivers
- Command intermediate skill level with Microsoft (MS) Office software to manage documents, spreadsheets, schedules, presentations, etc., solid knowledge of MS Project and construction practices
- Ability to make decisions with understanding and interpretation of procedures, establish and adhere to department deadlines
- Ability to travel occasionally (up to 30%) and sometimes frequently
- Highly motivated and able to multitask effectively in a fast-paced, deadline-driven environment
- Ability to solve problems and prioritize based on changing requirements
- Excellent oral and written communication skills
- Strong organizational and decision-making skills
- Broad knowledge of financial terms and principles, including the ability to conduct financial analysis and prepare budgets and forecasts
- Current Florida Driver’s License and satisfactory driving record are required
EDUCATION & EXPERIENCE
Experience
- A minimum of 8+ years of relevant experience working with transaction management (leases, purchases and sales), real estate acquisitions/dispositions and construction management
Education Required
- Bachelor’s degree from an accredited college or university is required with a concentration in Real Estate, Accounting or other related field of study preferred.
Education Preferred
- Professional certification in Construction Management, Project Management, Facilities Management or Property Management through BOMA or IFMA is preferred
- Brokerage experience is preferred
