ABOUT THE ORGANIZATION

Truckee Meadows Water Authority (TMWA) is a not-for-profit, community-owned water utility, overseen by elected officials and citizen appointees from Reno, Sparks and Washoe County. TMWA has a highly skilled workforce who ensure the around-the-clock treatment, delivery and availability of high-quality drinking water for more than 400,000 residents of the Truckee Meadows.

We are looking to hire a Records Technician, to join our Records Department.

ABOUT THE POSITION

The Records Technician is responsible for implementing records management policies and working with TMWA departments and personnel to ensure adherence to established records retention schedules. This position provides cross departmental support to TMWA personnel to ensure the proper storage, security and retention period for records as outlined by the TMWA records management retention schedules and tracking systems. This position is responsible for verifying information against existing records; filing and retrieving records in accordance with established procedures and filing systems; tabulating data as required; assembling and preparing records and files as necessary; and scanning and performing quality control of records.

ESSENTIAL FUNCTIONS

  • Answers technical questions relative to the preparation of documents for compliance with established record retention schedules.
  • Answers questions of TMWA staff members regarding records management, retention, and related issues.
  • Sends records to offsite storage and works with TMWA personnel on document destruction of obsolete records.
  • Works with the Records Program Administrator to train others in the use, operation and maintenance of records software applications and applicable equipment.
  • Scans hardcopy records, inputs and maintains data related to physical records processes, electronic records processes and RIM related project integration.
  • Keeps current on issues relating to records management and recommends changes in procedures as needed including attending professional development activities.
  • Works independently to perform all assignments and resolves questions and problems; refers complex issues to the Records Program Administrator.
  • Analyses data and prepares reports, charts, or spreadsheets.
  • Streamlines records procedures where appropriate.
  • Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work. processes, and work cooperatively and jointly to provide quality seamless service.
  • Inputs and ensures quality control of electronic and hardcopy records.
  • Provides support on special assignments, interpreting data and information and preparing reports.
  • Works with Records Program Administrator to develop and forecast Records division budget.
  • Performs other duties and responsibilities as assigned.
MINIMUM REQUIREMENTS

Experience:
Minimum of 1 to 3 years of demonstrated administrative support in office environment. Experience in computers, information systems and/or software applications required.

Education & Training:
High school diploma or equivalent with preference for candidates with postsecondary education in Business Administration, Public Administration or Computer Science or related field, and or experience working with and administering a records program.

Must have working-level knowledge of the English language including reading, writing, and speaking English.

CERTIFICATIONS, LICENSURE & SPECIAL REQUIREMENTS

A valid Nevada (or California – depending on state of residency) Driver License at time of hire and continuing thereafter and ability to maintain insurability under TMWA's vehicle insurance policy.

Employment is contingent upon successful completion of a background investigation during hire and periodically thereafter during employment.

This position is considered a safety sensitive position and employment is contingent upon the results of drug and/or alcohol testing which includes screening for marijuana. The presence of marijuana or other screened for substances on any employment related substance test may result in a refusal to hire or termination of employment.

Knowledge of:
  • Office management principles.
  • Modern office practices, methods, and equipment.
  • Principles of business letter writing.
  • Computer literacy in Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook.

  • Operate office equipment including but not limited to automated record systems, computers, microfiche and scanners.
  • Utilize information systems, records management software systems, and other software applications.
  • Identify and resolve problems in a timely manner.
  • Gather and analyze information skillfully.
  • Exhibit sound and accurate judgment and explain reasoning for decisions.
  • Manage competing demands; deal with frequent change, delays, or unexpected events.
  • Use independent judgment and personal initiative in getting work done timely and accurately.
  • Respond to requests and inquiries from employees, governmental entities and outside agencies.
  • Independently prepare correspondence and memoranda.
  • Exercise good judgment, flexibility, creativity and sensitivity in response to changing work situations and needs.
  • Type at a speed necessary for successful job performance.
  • Apply appropriate policies and procedures to work responsibilities.
  • Compute indexes of documents and forms for easy reference.
  • Prepare documents to be scanned (e.g., removes staples, straighten corners, etc.).
  • Pull stacks of files weighing up to 25 pounds.
  • Perform miscellaneous clerical duties.
  • Maintain confidential data and information.
  • Communicate clearly and concisely, both orally and in writing.
  • Establish, maintain, and foster positive and productive working relationships.
  • Develop and maintain strong working relationships with employees.
  • Be punctual regarding work hours established by TMWA.
  • Be mentally and physically alert during working hours.
