General Summary

This is an ideal opportunity for an individual with clinical trial coordinator/research administration experience, who is interested in exploring the intersection of technology, research administration, and clinical trial operations.

OnCore CTMS and Advarra Payments are managed by the Mass General Brigham HealthCare (MGB) Clinical Trials Office (CTO). In addition to managing OnCore CTMS and Advarra Payments, the CTO negotiates industry-sponsored clinical research agreements and budgets on behalf of the Massachusetts General Hospital, Brigham and Women’s Hospital, McLean Hospital, Newton Wellesley Hospital, and Spaulding Rehabilitation Hospital. The CTO is part of the office of the MGB Chief Academic Officer.

The OnCore clinical trial management system (CTMS) is an enterprise-wide, healthcare IT solution aimed at facilitating the management of industry-sponsored clinical trials at Mass General Brigham. Key aspects of OnCore include study protocol management, research subject registration and visit tracking, and invoicing/reconciliation of study financials. Additional functionalities of the system will be introduced to the MGB research community over time.

In addition to OnCore, the CTMS team manages Advarra Payments which supports participant stipend payments for all research studies across the MGB enterprise.

We are looking for a motivated individual to join our team as a systems research analyst supporting the administrative functions within the OnCore system and Advarra Payments. Additionally, the research analyst will provide support and training to end users across Mass General Brigham. This is an ideal opportunity for an individual with clinical trial coordinator or department administrator experience, who is interested in applying their knowledge to healthcare technology and research administration. All members of the CTMS team are expected to contribute to an environment that welcomes ideas on best practices, new areas for exploration, and opportunities for growth within our group and at Mass General Brigham. Interest in utilization of healthcare technology a must; experience coordinating clinical trials in a hospital setting is greatly preferred; track record of interpreting clinical trial budgets is highly desirable.

Principal Duties and Responsibilities

  • Performs activities related to the local administrative functions of applications supported by the CTO(OnCore CTMS/Advarra Payments. Inclusive of:

o Interpreting the trial clinical trial agreement (CTA) and defining the OnCore CTMS/Advarra Payments configuration and business processes that support study team workflows, which includes calendar building, and budget entry into OnCore/Payments, stipend schedule configuration in Advarra Payments
o Documenting and testing trial specific configuration and study team workflows in OnCore CTMS/Advarra payments

  • Monitors OnCore CTMS utilization and compliance for assigned user groups
  • Provides excellent customer service providing end-user support for applications supported by the CTO CTMS team
  • Provide industry trial revenue cycle guidance to OnCore CTMS end users management of study financials using OnCore and interfaced applications like PeopleSoft & Insight
  • Triages and escalates end-user support to CTO/CTMS management, Applications Vendor(Advarra OnCore CTMS /Payments) and Mass General Brigham IS, as appropriate
  • Participates in training and mentoring of new CTMS team staff
  • Assist with writing and reviewing CTMS Team SOP’s, business processes workflows and support procedures and documentation
  • Serves as the liaison for the CTO at one or more MGB institutions: MGH, BWH, NWH, McLean, and Spaulding. Liaison will spend a portion of their time at the assigned institution(s)
  • Develops relationships with key staff in relevant hospital departments (e.g. Research Compliance, IS) and research administration offices to implement OnCore objectives and processes
  • Champions adoption and utilization of additional CTMS support systems, such as participant payment systems
  • Responsible for completion of special tasks and projects that support the CTMS application footprint, inclusive of Application Upgrade Project tasks and testing and Application specific auditing
  • Exhibit sound and accurate decision making and serve as an expert resource for problem solving
  • All other duties as assigned

  • A minimum two-years clinical research experience.
  • Bachelor’s degree required
  • Experience working in or with clinical trials, clinical research management/administration, and/or IRBs required. Experience working with clinical trial invoicing/financials preferred.
  • Experience working with electronic research tools such as CTMS, eCRF, relational databases, and electronic proposal submissions systems required.
  • Experience interpreting clinical trial budgets is highly desirable
  • Experience working on industry-sponsored clinical trials is desirable
  • Exceptional oral and written communication skills.
  • Must be able to work independently using initiative and good judgment

Working Conditions

This is an office-based job. This position will be based both at Assembly Row, Somerville, MA, and at one of the hospitals (MGH or BWH), with reporting to the Director of CTMS within the CTO.
