Richman Property Services, Inc. is currently seeking a community inspired, passion driven full-time Resident Coordinator to join our awesome team!

The Resident Coordinator will be supporting Autumn Woods, our residential property located in Bladensburg, MD.


SUMMARY:

The Resident Service Coordinator under the directive of the Property Manager, Assistant Manager and /or Regional Manager, is responsible for delivery of exceptional resident service and retention efforts and all associated functions, in compliance with all company policies and procedures and all applicable Fair Housing and Human Rights statutes.

RESPONSIBILITIES:

1. Resident relations and retention including pre move-in orientations, delivery of exceptional customer service, proactive follow-up and coordination of resident appreciation initiatives

2. General office administration

4. Miscellaneous administrative tasks and special projects, as assigned The Resident Service Associate’s tasks include, but are not limited, to the following:

Resident Relations and Retention


1. Makes introductory calls to all future residents prior to move-in and initiates face-to-face meeting with new residents within 48 hours after move-in to assure quality control and to confirm satisfaction with service that was provided.

2. Provide comprehensive pre move-in orientations that includes the introduction of all services, the apartment amenities, community and the neighborhood including the delivery of move-in welcome gifts prior to resident’s possession of the apartment home.

3. Schedule move-ins and/or move-outs to assure a coordinated and smooth transition and ensure distribution of the schedule to all management team members

. Place follow-up phone calls to residents within 30-days following a move-in to ensure resident satisfaction and to follow-up on any comments.

5. Assist in the development of and implementation of social activities or other events to enhance the residents’ appreciation of the community as a home.

6. In partnership with the building team members, serves as a liaison to the residents to foster strong landlord/resident relationships.

7. Prepare all written resident correspondence for approval by the Property Manager and/or Assistant Manager.

8. With the help of the Maintenance Supervisor, facilitates the handling of problems that residents may experience with their apartments. Keeps management team apprised of any situations.

9. Ensures that all resident complaints are addressed expeditiously, diplomatically and professionally. Ensures follow-up on all issues within (4) four hours.

10. Provides administrative support with the resident web site, extermination access and letters, monthly mailings and other special projects as assigned by supervisory staff.

11. Reads and answers resident emails generated through the resident web site.

12. Reviews service request records and communicates with the Maintenance Supervisor on the service request status in order to respond to resident inquiries.

13. Pro-actively follows-up with residents on all service requests to ensure resident satisfaction.

14. Inform supervisors of any resident concerns or unusual occurrences at the community.

15. Special projects, as assigned.

General Office Administration

1. Maintains accurate, efficient files for all site administration, including: lease files, operational procedure files, service request files, etc., according to RPS and regional office directive.

. Opens all vendor correspondence and distributes to staff members as appropriate.

3. Prepares and processes appropriate written communications, i.e., memos, letters, insurance incident reports, etc.

4. Follows procedures to prepare incident reports and lease violations. Creates and sends violation letters to residents.

5. Performs appropriate follow-ups on occupancy changes or unauthorized pets. Conducts regular reviews of the resident roster for changes in occupancy, key drop control, and move-in/out schedules.

6. Maintains updates of the resident activity tab, utilizing the on-site computer program.

7. Tracks and pursues any unauthorized pets or violations with authorized pets; and all other lease violations and recommends legal action when necessary.

8. Updates the resident roster database and ensures timely distribution to all appropriate staff members.

9. Maintains Fair Housing Binder for reasonable accommodations and coordinates the documentation of such requests ensuring resident forms are completed, third party verifications are obtained, possibilities are researched and resident is notified timely of decisions made. Ensures that no request is denied without the approval of the Vice President and Fair Housing Officer, if applicable.

10. Special projects, as assigned.


Specific Site Administration

1. Supports Leasing team in maintaining an appropriate supply of Resident Guides and move-in gifts.

2. Maintains an up-to-date and accurate card key system and makes changes as needed.

3. Maintains tracking mechanisms developed for follow-up of service requests.

4. Maintains records of all site-specific programs such as cycle painting in cooperation with the Maintenance Supervisor where appropriate, utilizing the on-site computer program.

5. Prepares and distributes Resident Notices, as necessary.

6. Assures that entire team is updated with building activities and inventory.

7. Special Projects as assigned.

8. Facilitates the roll-out of new services and initiatives.

Miscellaneous

1. Provides administrative support, as necessary.

2. Special projects, as assigned.


QUALIFICATIONS:

Education: Associate's degree (A. A.) or equivalent experience Experience: Two years’ experience in apartment industry in an Assistant or Leasing position preferred Skills & Certifications:

1. Customer service driven with exceptional problem resolution skills

2. Strong administrative and organizational skills

3. Ability to prioritize workloads and handle multiple tasks

4. Excellent written, verbal and interpersonal communication skills

5. Excellent telephone presentation skills

6. High energy level

7. Positive attitude

8. Residential real estate experience helpful

9. Ability and commitment to learn new material quickly and upgrade skills

10. Must be able to work independently and as part of a team of professionals

11. Working knowledge of Microsoft Office / One Site experience a plus Other Requirements


1. Position is located in Bladensburg, Maryland.

2. Position is subject to mandatory overtime; must be flexible and willing to work all shifts/hours/days
