Job Title: Sales & Marketing Coordinator
Location: Pacific City (Huntington Beach, CA)
Reports To: General Manager
FLSA Status: Non-exempt

Position Summary:

The Sales and Marketing Coordinator serves as a key support and activation partner with the center’s Business Development / Specialty Leasing and Marketing Programs/initiatives that drive sales / traffic and NOI growth. Multi-tasking and working well in a team environment as well as independently are critical for this role.

Essential Duties and Responsibilities:

Specialty Leasing/Business Development

  • Coordinate specialty leasing tenant set up and move-in/move-outs.
  • Assist with screening new potential retailers/clients.
  • Prepare and enter all license agreements for specialty leasing, storage and sponsorships, track approvals, obtain tenant signatures, track tenant openings, and ensure proper insurance is collected.
  • Maintain Specialty Leasing income, budget and forecast reporting as needed
  • Request and maintain copies of insurance on file for new and existing Specialty Leasing Tenants.
  • Assist with lease renewals as needed.
  • Assist in collections for outstanding Accounts Receivable balances from Perm and Specialty Leasing Tenants.
  • Screening local specialty leasing and sponsorship opportunities and communicating those opportunities to the Director of Marketing.
  • Manage sponsorship and business development/specialty leasing inventory.
  • Coordinates the delivery, install, and proof of posting for all paid media/advertising on both interior and exterior of center.
  • Visual merchandising management of tenants, as directed.
  • Assist in gathering retailer sales data.
  • Assist with holiday photo operations.
  • Walk the common area to make sure that all tenants all open and are maintaining the visual standards of the program.
  • Alert the General Manager and Director of Marketing if there is hawking in the common area and follow the Hawking Guidelines.

Consumer Marketing

  • Works directly with the Marketing Director assigned to drive sales/ traffic and NOI growth for the center.
  • Plays a support role to activate the local implementation of local and national marketing platforms and any center consumer and/or retailer specific marketing programs.
  • Supports digital and social media initiatives including updating and maintaining the website, taking pictures, helping to create content for posts, social media contests etc.
  • Create, manage, and review social media post content with social media Consultants.
  • Review messaging for all social media channels. Respond to comments as required and report any problems or negative social interactions immediately to Director of Marketing.
  • Stay up to date with social media trends and current best practices.
  • Attend meetings as part of the Marketing team with tenants, consultants, and sponsors to discuss social media needs and requests.
  • Review of Press Releases, print brochures, signs, directories. Assists with video and photo shoots as needed.
  • Consumer information management, including data entry, email list management and contest/event registrations.
  • Assist with special event planning and execution, including set-up, vendor coordination, on-site logistics and post event evaluation.
  • Ensures center retailer listing materials and marketing promotional materials are accurate, updated and inventory levels are maintained
  • Other duties as assigned.

Common Area

  • The Sales and Marketing Coordinator is responsible for ensuring that all brand standards are followed in communications and marketing program materials through the shopping center.
  • Strives to improve and build upon overall customer services and amenities.

Retail and Management

  • Solicits and encourages retailer participation/support as an effort to promote their business and add value to overall center marketing plans.
  • Works with the GM and Director of Marketing to create effective marketing initiatives and tools that support our retailer partners achieve their sales goals.

Financial Management

  • Ensures and maintains accurate budgets and monthly forecasts to assigned projects.

Qualifications:

  • Bachelor’s Degree preferred
  • Minimum of 2- 3 Years of Experience, preferably in Marketing, Event Planning, Project Coordination, Sales, Retail or Real Estate
  • A passion for being part of retail reinvention and evolution.
  • Comfortable working in a fast paced, highly dynamic work environment.
  • Excellent interpersonal, organizational, time management, oral and written communication skills.
  • Ability to work and learn independently and in a team situation.
  • Ability to deal with multiple projects and tasks effectively and establish priorities.
  • Strong attention to detail and ability to follow through.
  • Self-motivated, pro-active individual with a positive attitude.
  • Must be a strategic and analytical thinker.
  • Excellent people skills along with problem solving and time management ability.
  • Must possess the ability to manage budgets and have solid accounting skills.
  • Must be proficient on basic Microsoft Office platform and Internet.
  • Should have creative design skills and be proficient in social media platforms
  • Knowledge of livestream platforms such as TikTok, Instagram, and YouTube is a plus
  • Understand social media KPIs
  • Familiar with MailChimp, Dropbox, Hootsuite and Adobe Illustrator experience a plus
  • Must be flexible and able to work events which may include nights, weekends, and holidays.
  • Ability to read and understand standard business documentation (e.g., contract language).
