Scheduling Representative

Position Location: This is a remote position, but the employee must be based in Michigan.

Number of Positions: 3

Shifts:

Monday – Friday, 8:30 a.m. – 5:00 p.m.

Monday – Friday, 9:00 a.m. – 5:00 p.m.

Monday – Friday, 9:30 a.m. – 6:00 p.m.


ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned.

  • Answers incoming telephone calls from referring physicians or patients, determines the study/studies to be scheduled or forwards calls to appropriate personnel or department. Answers questions about organization and provides callers with address, directions, and other information.
  • Determines urgency of appointment based on brief assessment and on familiarity with a patient’s condition and history. Schedules in a timely and appropriate timeframe
  • Reviews with the caller the preps, warnings and any information needed for the study.
  • Obtains/confirms demographic information, insurance information and prior study information with all patients and enters/updates as necessary.
  • Accurately reschedules and/or cancels patient appointments per request.
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Responsible for outgoing calls to schedule a patient that is not yet scheduled.
  • Reviews applicable notes, contacts patient and coordinates appointment time, as requested by Radiologists, documents applicable notes and adjusts “status” in system accordingly.
  • Provides exceptional customer service through patient communication and scheduling efficiencies
  • Maintains the schedules of assigned physicians by knowledge of provider rotation, preferences and available slots. Ensures adequate use of physician’s time by using a wait list to fill cancelled appointment slots
  • Prepares all biopsy paperwork for the next day such as consent forms and lab’s required.
  • Covers and assists other scheduling coordinators as needed.
  • Maintains patient confidentiality.
  • Handles callers with compassion, professionalism and a sense of urgency
  • Performs other assigned duties as required by management.

EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED)
  • At least one (1) year of experience working in a call center.
  • Experience working in a health care environment preferred.

LANGUAGE SKILLS

Ability to respond to common inquiries or complaints from customers, or members of the business community. Ability to comprehend what is being asked for and the ability to reason when the request is not correct and then direct them to the correct information. Ability to speak fluently and make oneself understood effectively.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
