Job Summary
Under general supervision, performs clerical, data entry and statistical record keeping by performing the following duties.

ESSENTIAL JOB FUNCTIONS
  • Type letters and other correspondence including legal documents.
  • Process and work with detailed procedures involving reports, statistics, databases and takes notes and/or minutes.
  • Ensure proper documents including police reports and databases are maintained and processed in the system and/or to other agencies.
  • Prepare databases and statistics of social files as requested by management staff.
  • Become familiar with State Statues and Court policies concerning delinquent youths.
  • Perform other duties as assigned.

QUALIFICATIONS

REQUIRED SKILLS, KNOWLEDGE, & ABILITIES
Skill in maintaining accurate records, statistics, databases, and delinquent files; in using a calculator and related Office machines; in typing 60 WPM; in formatting reports and other data as requested by Supervisor; in accurate spelling, punctuation, and business English; and in MS Word, Excel, and Access software programs.

Knowledge of Juvenile On-Line Tracking System (JOLTS) report screen; of administrative policies, Juvenile Court policies, and State Statutes; of legal and social files; and of departmental policies and procedures.

Ability to maintain confidentiality; to prepare record checks for military and law enforcement; to prepare statistical reports and complete some legal forms; to organize and plan work; to exercise initiative and independent judgement; to perceive clerical errors and work tactfully with others; to have the flexibility to migrate from one task to another at the supervisor's request and perform other assignments.

SUPERVISORY SKILLS
This job has no supervisory responsibilities.

EDUCATION AND/OR EXPERIENCE
High school diploma or general education degree (GED); plus one to three months related experience and/or training.

LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

COMPUTER SKILLS
To perform this job successfully, an individual should have knowledge of Database software; Internet software; Spreadsheet software and Word Processing software.
