  • Screen visitors and telephone calls, directing them to the appropriate person/classroom/department.
  • Screen and route incoming mail, and distribute copy work.
  • Compose and copy correspondence, reports, bulletins, records and other materials.
  • Obtain, gather and organize pertinent data as needed.
  • Maintain an orderly filing system.
  • Schedule appointments, assist in planning meeting agendas, prepare meeting summaries and assemble material for meetings.
  • Maintain accurate attendance records, call parents to confirm absences, check in tardy students and distribute passes, check out students, and report attendance problems to the principal.
  • Assist the principal in securing substitute teachers and paras, and submit all reports as required.
  • Administer first aid to ill/injured students in the absence of the school nurse according to school policy.
  • Assist in training new employees.
  • Organize and process building purchase orders. Verify quantities delivered, and distribute to staff.
  • Ensure against the presence of unauthorized people on campus, including knowledge of all non-custodial situations.
  • Serve as acting registrar for building by processing records requests, collecting new student documentation, entering new student data into student information system, and sending records upon withdrawal or promotion.
  • Follow up with guardians/emergency contacts upon student withdrawal without records request, making reports to proper authorities if necessary.
  • Maintain accurate student records database for all students assigned to building, including off-campus and non-traditional students as necessary. This includes, but is not limited to, demographic, contact, payment, and attendance information.
  • Maintain current staff list in student information system.
  • Assist building administration with setup of schedules, classes, and sections in student information system as needed.
  • Record all special funding-related data, such as At Risk or Title 1, into student information system as necessary.
  • Assist principal with building budget, including general, supplemental, activity and capital outlay accounts.
  • Assist with free/reduced applications and fee changes if necessary.
  • Process student and family fee payments.
  • Assist with supervision of students as instructed by administration.
  • Coordinate resources for new students as necessary, such as desks or additional curriculum.
  • Provide tours to new and prospective parents as needed.
  • Submit maintenance work orders as directed.
  • Follow current district procedure to ensure proper transportation and/or registration processing.
  • Setup conference scheduling and assist teachers and parents/guardians with process as needed.
  • Keep abreast of new information, innovative ideas and techniques.
  • Adhere to all district health and safety policies.
  • Other duties as assigned by the principal or other administrative staff, which are consistent with the general requirements and qualifications of the position.
