POSITION SUMMARY:

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Site Coordinator is responsible for the oversight of the assigned program in partnership with the collaborating school or park when the program is off-site and with the branch team when the program occurs on-site at a branch. At off-site programs, the Site Coordinator serves as the primary contact to the school administration and faculty and helps establish the program at the assigned school. The Site Coordinator supports the group leaders in the daily supervision of program participants and provides guidance and or assistance to them in the planning, development, and implementation of program components and activities. The Site Coordinator works with the Youth Leaders to guide the academic and social development of children, ensuring a safe, enriching, and healthy learning environment. The Site Director assists the Group Leaders in using a variety of resources, to introduce new skills throughout the execution of activities.

ESSENTIAL FUNCTIONS:

  • Administers the day-to-day operation of the program, ensuring that all the program components and SOPs are adhered to.
  • Monitors and promotes program participant recruitment.
  • Prepares and monitors staff schedules at all times, modifying it as necessary to maintain appropriate staff-to-child ratios. Make arrangements for substitute staffing as needed.
  • Coordinates with the school’s administration, teachers, community partnerships, and/or branch team to successfully implement the program.
  • Evaluates the program quality, implementing necessary remedial steps when necessary.
  • Ensures attendance records, dismissal logs, and other required documents are properly completed, maintained and filed.
  • Membership/Facilities/Aquatics Directors when the program takes place at the branch or in shared spaces.
  • Ensures staff are planning and implementing age appropriate learning experiences and maintaining a safe and nurturing environment.
  • Ensures that careful supervision and guidance is provided to Program Aides that are assigned to Group Leaders. Ensures Program Aides who are under 18 years of age are never left alone to supervise or monitor youth participants and are receiving proper supervision.
  • Follows all procedures and standards as established by the law or the Y.
  • Provides supervision, assistance, and guidance to staff.
  • Conducts ongoing, systematic observations and evaluations of staff and children.
  • Serves as a positive role model, demonstrates professional behavior.
  • Promotes a team concept through a positive approach to supervision, communication, and interactions with others.
  • Maintains on-going communication with supervisor and assigned staff, conducting regular and on-going meetings.
  • Creates a positive rapport with youth, staff, parents/guardians, as well as other departments especially when programs are based on-site at the branch.
  • Maintains accurate participant records as assigned and according to program requirements.
  • Communicates regularly with parents; attends parent/family events as designated by the supervisor.
  • Ensures proper food handling during snack/lunch preparation.
  • Ensures clean up and preparation of room/program space for next day.
  • Depending on the program, may tend to diapering and toilet needs of children.
  • Plans and implements special events such as family nights and program activities.
  • Leads and attends required staff meetings, staff training, and other required events.
  • Demonstrates a working knowledge of YMCA mission, purpose and goals, childcare policies and YMCA standards; ensures the program meets the highest standards of excellence.
  • Works with supervisor to ensure programs and services meet community needs to include supervising existing program activities, establishing new program activities, and expanding the program within the community as needed. Assists in the marketing and distribution of program information.
  • Assures compliance with federal, state, and local regulations as they relate to program areas, including ADA accommodations where appropriate; ensures that YMCA program standards are met and safety procedures followed.
  • Adheres to policies, standard operating procedures, and handbooks related to boundaries with youth.
  • Participates and attends all required abuse risk management training.
  • Adheres to standards & procedures related to managing high-risk activities and supervising youth.
  • Reports any suspicious, inappropriate behaviors and policy violations to the supervisor immediately and complies with mandated YMCA and State of Hawaii abuse reporting requirements.
  • Reinforces staff and volunteers to adhere to policies and procedures related to abuse risk.
  • Responds seriously and confidentially to reports of suspicious and inappropriate behaviors, and responds quickly to policy and procedure violations using the organization’s progressive disciplinary procedures.
  • Complies with the YMCA and State of Hawaii abuse reporting requirements.
  • Performs other duties as assigned.

QUALIFICATIONS:

Level I Site Coordinator:

  • Minimum 18 years of age required.
  • High school diploma or equivalent required.
  • Reliable transportation to and from assigned location required.
  • Child Abuse Prevention training required within 30 days of hire.
  • Fulfillment of state-specific hiring standards and completion of YMCA program-specific training.
  • Able to be CPR, First Aid, and AED certified.
  • Able to relate effectively to diverse groups of people from all social and economic segments of the community.
  • Able to work collaboratively in a team and coach others to meet organizational goals.
  • Commitment to inclusion and compliance with the Americans with Disabilities Act (ADA).
  • Minimum two years or more of documented related experience working with school aged children in a group setting required.
  • College degree or post high school education in related fields preferred.
  • 6 months or more of documented supervisory experience preferred.

Level II Site Coordinator (in addition to the Level I qualifications above):

  • All Level I Site Coordinator requirements
  • Ability to assist with training.
  • 2 or more years of documented supervisory experience required.
  • YMCA Team Leader certification preferred.

  • The employee must occasionally lift and/or move 10 pounds or more.
  • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
  • The noise level in the work environment is usually moderate.
  • The employee must be able to work various shifts Monday-Sunday depending on the program, including holidays as needed.

Pay: $15.50 - $17.00 per hour
