POSITION SUMMARY
The Spare Parts Order Processor is responsible for providing quality customer support to internal and external customers. They are responsible for data entry of customer quotes/contracts and purchase orders for the Parts Sales Department. They answer customer requests for parts orders and quotes requests via telephone and email communications. They report to the Manager of Customer Support and takes direction from the Business Unit Manager of Spare Parts and Paid Services.

JOB FUNCTIONS
Include the following, but other duties may apply.
  • Expedite open orders (internally within BCI as well as with BKM) to ensure best possible delivery performance to the customer.
  • Receive customer calls/emails for parts orders and quotes and enter directly into Made2Manage (M2M) system.
  • Data entry/process parts orders through Made2Manage (M2M) ERP system.
  • Data entry of all customer information such as sold to, ship to, items purchased, etc. from purchase orders and/or contracts accepted by the BCI Part Sales Department into ERP system (Made2Manage).
  • Release all part sales order to storeroom for shipping.
  • Process shipping documents for carriers such as FedEx, UPS etc., for own orders and as a backup as necessary for absent team members.
  • Monitor backlog on parts sales and updates due dates of open orders based on projected/updated ship dates weekly.
  • Create backorder shipping documents for own orders and as a backup as necessary for absent team members for all backordered parts.
  • Creates all documents required for export shipments for own orders and as a backup as necessary for absent team members.
  • Must be able to assist customer with minor order discrepancies in a professional manner and escalate to Management.
  • Process all credit card transactions for part orders confidentially.
  • Process Government orders as required within required specifications for US. Govt.
  • Develop tools (reports) in M2M, which will help to improve our expediting processes and to manage our backlog (open orders) in the most efficient fashion.
  • Provide frequent updates (reports), including but not limited to current Backlog, High priority orders etc. to the Business Unit Manager.
  • Continuous improvement of processes related to Parts Sales to increase efficiency.
  • Expediting of open orders (internally – Warehouse/Purchasing).
  • Update open order due dates (based on information about estimated ship dates) utilizing M2M as well as Axapta (BKM) system weekly for own orders and as a backup as necessary for absent team members.
  • Regular and reliable attendance.
ESSENTIAL SKILLS AND EXPERIENCE
  • High school diploma or equivalent.
  • Minimum of two (2) years of customer service or order entry experience.
  • Excellent verbal and written communication skills.
  • Solid technical and computer skills in a Windows environment including Microsoft Office (Outlook, Word and Excel).
  • Strong ability to type efficiently and accurately.
  • Demonstrated ability to work under deadline situations and flexibility in a fast-paced environment with changing priorities.
  • Sense of urgency with strong attention to detail.
  • Must be detail oriented and able to multitask and prioritize demands.
  • Self-starter with the ability to resolve issues and research solutions.
  • Ability to work under pressure and independently with minimal supervision.
  • Ability to communicate information clearly and effectively to customers (internal and external).
  • Ability to learn Made2Manage (M2M) software.
  • Customer-focused attitude and professionalism to ensure world class Customer Support performance to BCI internal and external customers.
VALUED BUT NOT REQUIRED SKILLS AND EXPERIENCE
  • Associate Degree in Business Administration, Operations, or other related field.
  • Manufacturing experience a plus.

Vision abilities required. The employee must occasionally lift and/or move up to 30 pounds or ask for assistance with lifting.

The noise levels in some manufacturing facilities frequently may exceed the normal DBA. . Duties will require this person to travel by foot from one building to another throughout the day and wear the proper Personal Protective Equipment (PPE). The employee is required to wear necessary protection (foot, eye, ear, mask, etc.) when walking through the plant.

Normal working schedule: Monday through Friday, 8:00am to 5:00pm EST with some overtime required at times.
