This job is responsible for timekeeper functions and schedule generation/maintenance for assigned department(s) through proficient use of Workforce Timekeeper and Workforce Scheduler applications. Assumes responsibility for opening, closing, and posting of unit schedules, as well as obtaining approval for all additions, deletions, corrections, etc. Communicates and coordinates timekeeper and scheduling activities clearly and concisely with managers and staff in a timely manner.

Education

Required - Associate’s degree

Work Experience

Required - 1 year of office experience

Preferred - 3 years of experience with timekeeper or scheduling applications

*3 years of experience with timekeeper or scheduling applications will be accepted in lieu of an Associate’s degree

Knowledge Skills and Abilities (KSAs)

  • Proficiency in using computers, software, and web-based applications.

  • Effective verbal and written communication skills and ability to present information clearly and professionally.

  • Proficiency with spreadsheet applications, such as Microsoft Excel.

  • Strong interpersonal/customer service skills.

  • Ability to maintain positive and professional demeanor under stressful conditions.

  • Must be knowledgeable of current payroll policy/law.

  • Ability to use Workforce Timekeeper and Workforce Scheduler to complete job expectations.

Job Duties

  • Regularly reviews and updates payroll system entries for assigned departments, which may include entering missed punches, appropriate cost center transfers, GPT, FMLA, premiums, etc.

  • Reports any discrepancies, unusual or questionable time entries to appropriate supervisors, Human Resources, and/or Payroll Coordinator, while meeting all deadlines for payroll processing.

  • Works with employees and management to ensure that payroll punches are approved, documented, and recorded correctly.

  • Works directly with department managers on schedule development, including defining baseline needs, skills/certifications required per shift, and number of lead or senior staff per shift.

  • Releases preliminary shift template to staff in assigned department(s) in defined time frame to allow for self-scheduling.

  • Makes final changes to schedule and submits to managers in assigned department(s) for review/approval.

  • Reviews requested changes to schedule (shift swaps, GPT, etc.) for appropriateness and forwards to department manager for approval (as necessary). Maintains staffing/scheduling information on a daily basis.

  • Deals directly with both leaders and employees on time sensitive and important issues regarding scheduling, payroll, or timekeeping concerns.

  • Functions as a contact person for staff and manager on questions/issues related to timekeeping and scheduling applications.

  • Performs other related duties as assigned.
