Position Information

The Student Records Assistant provides administrative and customer service support for the offices of Summer Sessions and University Registrar. Responsibilities include the maintenance, distribution, and customer service related to all aspects of student academic records. The incumbent provides support with the creation, coordination, and implementation of all student registration and record keeping processes, following up on problems pertaining to various facets of the student academic record. Developing a thorough knowledge of all student records policies and procedures to be able to communication verbally and in writing to counsel students, staff, faculty, and the public is essential. The positions provides information concerning and follows the Family Educational Rights and Privacy Act (FERPA) and all applicable University regulations regarding the release of student records. The Student Records Assistant provides support and assistance for student academic records on a broad range of areas including, but not limited to, registration, grades, all aspects of the academic transcript, and the issuing of official documents. The incumbent works cooperatively with campus offices and academic departments to provide students, faculty, staff, and all other levels of the University community with the interpretation of academic policies, procedures, and standards to adhere to for university, state, and federal regulations. The incumbent is responsible for the maintenance of all archived documents related to student records.

The budgeted hourly range for this position is up to $27.90.

Ability to multi-task and work quickly while maintaining a high level of accuracy and an organized work station. Proficient with current software applications.
Skill in combining divergent and normally unassociated ideas to creatively approach problems.
Skill in forming general rules or conclusions by combining separate pieces of information to infer a logical explanation for why a series of seemingly unrelated events occur together.
Ability to work effectively in a strong service environment that is fast paced and subject to constantly changing priorities.
Skill to independently draft correspondence to students pertaining to the operations, policies, and procedures of the functional area.
Verbal and written communication, as well as interpersonal skills to maintain cooperative relationships with others and provide appropriate information. Frequent interaction with a variety of people, including faculty, staff, students, and the public.
Skill in analyzing information, problems, situations, practices, and/or procedures to identify relevant concerns, identify patterns or tendencies, formulate logical and objective conclusions.

Preferred Qualifications

Knowledge of higher education academic and administrative policies, procedures, and deadlines.

Full knowledge of R'Summer information management system.

General knowledge of University regulations and student affairs policy.

Ability to assess student and/or departmental needs, formulate appropriate responses following established policies and past practices, and provide assistance, information, advice, and/or refer students and departments to appropriate resources across campus as necessary.

Understanding of general education requirements in higher education including regulations regarding prerequisites, academic requirements, unit policies, procedures, and deadlines.

Skill in setting priorities that accurately reflects the relative importance of job responsibilities.

Full knowledge of summer term policies, procedures, and deadlines.

Skill in working independently and following through on assignments with minimal direction.
