Mission/Authority

This person will assist the all staff conference director in administrative planning and coordination of the following before, during and after the conference.

Essential Duties:

Logistics

  • Coordinate and support regional admins with various receptions held during the conference (e.g., regional, camping, etc.)
  • Coordinate with International Pre-conference needs.
  • Administration of the conference registration and travel sites including customer service, management of data and running reports.
  • Assist the conference director with logistics based on need.
  • Coordinate the conference planning team meetings with the conference director.
  • Coordinate storage and truck from CO to California for conference.
  • Assist and support housing team with hotel room block.
  • Assist and support work staff coordinator with registration/questions and assist VIP coordinators with their pre-con needs.
  • Work with the conference director to schedule Planning Team calls and assist with planning team needs.
  • Support the Travel Coordinator as needed.
  • Work closely with Production Manager regarding breakfasts, small meetings, and needs.

Human Relations

  • Be a customer service specialist; maintain a warm, personable manner by demonstrating flexibility and a positive attitude in difficult circumstances.
  • Be the behind the scenes host of events.
  • Address problem situations that arise and work to find solutions.

Communication

  • Assist in executing the conference social media plan.
  • Assist with on-site check in at the conference.
  • Work with the Communications, Creative Services, Production Services and Mail Room Services as appropriate.

Office

  • Proficiency in all Microsoft systems with strong skills in Excel to manage data involved in the conference.
  • Organize and track all incoming correspondence from staff and other attendees.
  • Set-up (including needed equipment) and operate a complete on-site conference office.

Working Conditions:

  • Office environment; travel when necessary.
  • Position is temporary through January 2023, full-time through March 2024.
  • Position is full-time. Monday - Friday.
  • The anticipated salary range for this position is anywhere from $18.36-$22.98 hourly depending on experience.

Education:

  • College degree in related field desired.

Qualifications and Experience:

  • Must represent Young Life in a professional and courteous manner.
  • Must observe confidentiality.
  • Previous experience in administrative support of a major project, preferably in conference / event planning.
  • Previous Young Life experience desired.
  • Strong written and verbal communication.
  • Multi-task assigned projects autonomously to completion.
  • Excellent organizational and analytical problem-solving skills.
  • Familiarity with the hotel industry a plus.
