Position Summary: Maintain and distribute representative payee cash fund, coordinating activity with members of the Accounting Department and handle other cash transactions at local sites.

Day to Day Responsibilities:

  • Maintain scheduled banking hours for Case Management/Rep Payee clients to access their money. Keep adequate funds on hand to ensure fund availability.
  • Balance Rep Payee cash fund at the end of banking hours each day, completing the Daily Accounting Cash Reconciliation and Daily Disbursements spreadsheets. Request cash replenishments as needed with supporting documentation. Enter weekly spending journal entry in Sage100.
  • Follow up to obtain all cash request documents that are signed by the Rep Payee clients and forward to Rep Payee Lead/Accounting Associate.
  • Keep Case Managers, Rep Payee Lead and/or Accounting Manager aware of any financial issues regarding Rep Payee client accounts with respect to cash transactions. Review client account activity and issue weekly Rep Payee client Trial Balance Report.
  • Maintain petty cash fund for local site, balance, and replenish as needed.
  • Collect cash from BHcare consignment locations, record, prepare and make deposit. Also make deposits for rents paid in cash to BHcare. Also make deposits for any miscellaneous cash/checks to Rep Payee accounts and enter deposit in Sage100. Send all deposit paperwork to North Haven Finance department.
  • Collect clinic client copays from front desk, record, and deposit. Send deposit information to Accounts Receivable-North Haven office
  • Perform banking tasks to include making deposits, cashing of Rep. Payee replenishment check and petty cash replenishment checks, counting the cash to ensure accuracy, and record to Daily Accounting spreadsheet.
  • Record any checks received at local site, and forward to central office (if applicable)
  • May be required to use own vehicle on company business.

Qualifications:

  • High School Diploma or equivalent
  • One year of experience in basic accounting
  • Must be proficient with PCs and Microsoft Office Word & Outlook.
  • Active and valid CT driver's license and vehicle
