Administrative Assistant

Position Title: Administrative Assistant

Reports to: Investment Advisors

Hours: Full Time Permanent Position; 8:00 a.m. – 5:00 p.m. Monday through Friday

Cozad Asset Management has a committed team of Investment Advisors who provide these financial services, including investment management, financial planning, insurance planning, and tax preparation, to our clients.

We are seeking an experienced Administrative Assistant to support Investment Advisors in their service to clients.

Duties and Responsibilities

Supporting Investment Advisors at Cozad Asset Management as an Administrative Assistant includes but is not limited to the following duties:

  • Prepare client correspondence as directed by Investment Advisors
  • Communicate directly with clients via phone and email
  • Prepare paperwork based on instructions from Investment Advisor or clients
  • Process client paperwork and providing required information and completed paperwork to the Operations department
  • Assist with processing insurance paperwork
  • Assist Investment Advisors with scheduling client meetings
  • Perform other related duties as directed by Investment Advisors or other staff
  • Serve as a backup receptionist when needed

Qualifications

A successful candidate for this position will have the following:

  • Ability to multi-task and independently prioritize work assignments
  • Strong communication skills
  • Professional communication style when interacting with clients over the phone and in person
  • Excellent attention to detail
  • Proficiency with Microsoft Outlook, Word, Excel, as well as Adobe Acrobat or Foxit PhantomPDF
  • Ability and willingness to learn new systems and processes

Experience working in the financial services industry is preferred but not required. Any experience working in the insurance industry or working with Pershing as custodian and/or NetX360 platform is a plus. Hands-on training will be provided.
