The agency is seeking an Administrative Assistant II (Part-Time Career) for Fairland Sports & Aquatics Complex! We are looking for a hardworking self-starter with strong administrative, communication and organizational skills to serve in the Aquatics and Athletic Facilities Division. If you are an energetic teammate with extensive efficiency and technical skills and ability to perform at a high level this position is for you!

Our ideal candidate will assign and monitor customer service representatives or other administrative employees within a large multi-venue complex. This individual will conduct orientation sessions for new employees, completes paperwork, and coordinates with other Commission offices to process personnel actions.

The M-NCPPC offers a competitive salary range of $37,549 – 66,502 annually at the Administrative Assistant II level with an excellent benefits package including generous leave, extensive health coverage, deferred compensation plan, employer's retirement plan, and work-life programs. The hiring range for this position will be $37,549 to midpoint of the advertised salary range and will be based on the candidate’s qualifications and experience. This is a part-time career position with benefits and the selected candidate will work 35-37 hours per week.

Examples of Important Duties

  • Develops correspondence, completes forms, and proofreads and edits to ensure final version is error free and meets procedural requirements.
  • Uses a computer and modern office suite software (such as MS Office) and other enterprise software, for communicating, planning, scheduling, document creation, data collecting, reporting time and attendance, purchasing and other functions.
  • Supports administrative and clerical workflow of the facility to include recommending modification of office procedures to improve efficiency.
  • Supervises customer service representatives to include recruiting, interviewing, and onboarding and evaluating staff.
  • Conducts orientation sessions for new employees to explain unit organization, policies, and procedures. Completes paperwork and coordinates with other Commission offices to process personnel actions. Maintains confidential personnel files.
  • Provides customer service that meets or exceeds department expectations. Answers questions, provides information, or directs requests to appropriate individual for response based on knowledge of staff responsibilities and other facts. Supervises staff to ensure same expectations are met.
  • Uses computer software to create spreadsheets and organize data to create reports and statistics.
  • Work within registration software to enter data, pull reports, and provide information to customers and coworkers as needed for the operation of programs.
  • Creates or revises presentations, brochures, information sheets and other documents or informational items for presentation, distribution or posting on digitally.
  • Maintains records for revenues and expenditures of the work unit. May serve as custodian of petty cash and field purchase order systems. Verify records for accuracy and resolves any discrepancies following all established procedures.
  • May perform fingerprinting services for the unit of assignment.
  • Works with staff, community groups and others to provide information, gather data, and prepare appropriate records.
  • May collect money from public for Commission programs such as memberships, publications, entry fees and tickets. Issues documents or receipts, and records transactions.
  • Communicates and interacts effectively with business contacts. Establishes and maintains or enhances working relationships, including teamwork, with internal and external contacts
Working Conditions
  • Works in an office setting; may work outdoors briefly on an incidental basis. Work is primarily sedentary and requires very light to light physical effort; may require greater physical effort on an incidental basis. May be subject to various job demands such as high volume of work and tight deadlines.

Minimum Qualifications

1. High school diploma or a Certificate of General Educational Development (GED).
2. Two (2) years of progressively responsible experience in administrative support and clerical work or customer service that typically involves performance of a range of general office support functions.
3. An equivalent combination of education and experience may be substituted, which together total 2 years.
