Position Overview

Fidelity Bank’s Administrative Assistant will play a key part in the day-to-day functions of the Office of the CEO. The Administrative Assistant will assist with ensuring that the CEO is able to function in the most efficient and effective manner. Under the supervision of the AVP, Executive Assistant to the Chairman and CEO, the Administrative Assistant will add capacity to ensure that all tasks, processes, and communications in the Office of the CEO are managed in the most professional, organized, and accurate manner. All administrative processes will be carried out in alignment with the LifeDesign Banking approach.

Requirements:


PRIMARY ACCOUNTABILITIES / RESPONSIBILITIES:

  • Always maintain a high level of confidentiality and discretion
  • Experience working in an environment where access to and handling of highly sensitive information is required
  • Research and book travel arrangements
  • Transition Office of the CEO to mostly paperless filing system
  • Regular scanning and filing of documents
  • Obtain approvals, submit invoices for payment, and provide follow up
  • Using dictation software, prepare and format typed notes, correspondence, and various other documents
  • Maintain up to date and accurate mailing address listings on an ongoing basis using Excel
  • Prepare draft PowerPoint presentations
  • Set up virtual meetings using Webex, Teams, and Conference Room technology
  • Provide backup assistance to the AVP, Executive Assistant to the Chairman and CEO
  • Assist with the planning of meetings and events
  • Other duties as assigned.

Schedule:

Monday - Thursday (8:30am - 4:00pm)

POSITION REQUIREMENTS:

  • High School diploma
  • 5+ years prior experience in an administrative role
  • Proficiency with Microsoft Office Suite, specifically, Outlook, Word, and PowerPoint
  • Previous experience with Smartsheet and Webex a plus
