POSITION OVERVIEW

The part-time administrative assistant will serve as the administrative support for the Director of Funeral Services by managing administrative tasks, scheduling appointments and events, and providing assistance with department reports. The Incumbent will also serve as the first point of contact for incoming calls and guests, ensuring a warm and welcoming environment. The incumbent must have be able to minister to hurting families and having a passion for those suffering loss. This role reports directly to the Director of Funeral Services.


SCHEDULE:
Monday – Friday, 9 am to 2 pm (25 hours). Some schedule flexibility is permitted.


RESPONSIBILITIES

  • Provide administrative support to the Director, including typing, scanning, copying, and email management.
  • Schedule meetings, funerals, and coordinate room reservations.
  • Maintain daily and monthly reports and keep information updated.
  • Prepare file folders for correspondence, reports, and preplanning documents.
  • Receive and log incoming calls, document return calls, and ensure prompt follow-up.
  • Greet families with a Christ-like hospitality approach.
  • Manage both paper and electronic files, including confidential documents.
  • Prepare funeral programs and assist with various administrative tasks as required.


QUALIFICATIONS

  • Must be saved, have a servant’s heart, and be a member, in good standing or willing to join and become a member in good standing of FBCG.
  • Must be able to submit to authorities as defined by the Pastor.
  • Must possess a gracious, Christ-like demeanor in demanding situations.
  • Must have an understanding and appreciation for the ministry and the mission of FBCG.
  • Must possess a high level of sensitivity for people in need and possess ability to maintain confidentiality.
  • Must possess strong people skills, superior professionalism, and a spirit of hospitality.
  • High School Diploma required, Associate's or bachelor’s degree preferred.
  • A minimum of five (5) years of business administration/support.
  • A minimum of two (2) years customer service experience preferred.
  • Must have strong administrative experience, attention to detail, accuracy, and excellent customer service skills.
  • Must have strong organizational skills, ability to work under pressure and excellent interpersonal skills to deal effectively and courteously with a diverse group of individuals.
  • Knowledgeable or willing to learn Facebook, Instagram, Twitter, YouTube and TikTok, Hootsuite, Sprout Social or other social media management tools.
  • Must be available to work mornings, as assigned.
  • Must be a team player; flexible and able to perform multiple tasks in a complex operating environment.
  • Computer proficiency in Microsoft Word, Excel, PowerPoint, Access, Project and Outlook, Visio, Canva, Photoshop, and Smart Sheet knowledge and experience preferred.
  • Must demonstrate the ability to prioritize work with attention to detail, strong written and verbal communication skills. Must demonstrate proficiency in general office clerical skills.
  • Must be proactive, flexible, approachable, responsible, and resourceful.
