Job description

Primary Responsibilities:

· Responsible for developing and maintaining Main Office budget, ensuring all invoices, contracts, and agreements are valid, unexpired and compliant.
· Managing and organizing maintenance companies/vendors to keep the Main Office safe, clean, and operational.
· Ensure filing systems are maintained and up to date.
· Organize Main Office operations and procedures.
· Ensure security, integrity, and confidentiality of all company data.
· Coordinate all Fed Ex, UPS, US Postal services as needed.
· Monitor and maintain office supplies inventory, including ordering new stationery, furniture, appliances, electronics, and ad-hoc items as required.
· Receive and process mail, telephone calls, in-person visits and directing any inquiries to the relevant staff members.
· Organize orientation and annual training for Main Office staff.
· Coordinate meetings, calls, schedules, appointments, and bookings (including travel).
· Receive, review and coordinate forms that require sign-off from President and/or Vice President (VP).
· Coordinate and manage new employee set up.
· Identify opportunities for Main Office management improvements.
· Ad-hoc projects and duties as needed

Required skills and expertise:

  • Strong analytical and problem-solving skills
  • Strong organizational skills
  • Strong ability to be detail oriented and work with a goal of precision
  • Strong time management skills and ability to meet deadlines
  • Ability to handle multiple tasks simultaneously and prioritize
  • Strong computer skills including Microsoft Office Suite, Excel, and Outlook at a minimum
  • Experience in Real Estate Development, Real Estate Management, and/or Construction field preferred

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
