Job Summary

The department provides full fire, EMS, specialized team response, fire prevention and more to the Village. The Administrative Associate will be responsible for aiding the Fire Chief, and overall management for the emergency medical services, and support and administrative services. This position performs advanced levels of technical work; deals with the public on a regular basis in person and on the phone. Coordinates and schedules public fire safety education activities.

Essential Job Functions

  • NIFIRS Reports
  • ADP daily updates, Timekeeping and Payroll
  • Working on helping to find us grants to better our department
  • 10-50 billing, accident collections etc.
  • Assists with grant writing and grants management
  • Compiles data for various monthly reports
  • Payroll preparation
  • Participates in emergency government activities including preparedness classes, exercises and drills as needed
  • Performs advanced clerical tasks including budget development and management, maintaining financial accounts and records
  • Performs support work for staff. Maintains an appointment calendar for the Fire Chief and/or one or more administrators exercising considerable judgment in committing the administrator’s time; schedules meetings, prepares notices and agenda and assembles materials/documents needed for such meetings
  • Screens phone calls, often personally handling those originally intended for the Fire Chief or his/her staff; provides information requiring knowledge of an administrator’s particular area of responsibility; answers questions that involve searching for and abstracting data and detailed explanations of laws, policies or procedures
  • Maintain training records and schedule training
  • Coordinates training with other departments

· Plans, organizes and directs specific fire and rescue operations training with respect to equipment, apparatus, and personnel.

· Strong communicator with a humble confidence and approachability to interact with the community, Village officials, staff and other stakeholders

· May assist in the writing of specifications for all procurement, storage, and record keeping

· Performs other duties as assigned, but not limited to reassignments or rotations

· Responds to emergency situations

  • While performing the duties of this job, the employee is regularly required daily to use hands to finger, handle, feel or operate objects, tools, or controls and reach with hands and arms. The employee frequently is required to stand and talk or hear. The employee is occasionally required to walk, sit, climb, or balance, stoop, kneel, crouch, or crawl, and smell. The employee must frequently lift and/or move up to 35 pounds and occasionally lift and/or move up to 50 pounds. Specific vision, peripheral vision, depth perception, and the ability to adjust focus.
  • This position may require additional hours of work as needed.
  • This position is mission essential and must be available for on call duty during emergency situations/activations.
  • Must successfully pass medical physical examination including drug screening and physical ability test.
  • This position will be subject to Random drug testing.

Requirements - educational, certifications and experience

  • High School Diploma a must, Associates degree in Fire Science and/or /engineering-related field preferred
  • Must have two (2) years paid full time experience in a Fire Division
  • Knowledge of the principles of Fire Rescue and Emergency Services administration and budgeting.
  • Knowledge of the principles and practices of modern firefighting and emergency medical services (EMS).
  • Knowledge of the geography of the Village including location of streets, water mains, fire hydrants, and fire hazards.
  • Knowledge of current developments in EMS/Rescue, firefighting and fire prevention.
  • Knowledge of current firefighter training techniques.
  • Ability to compile, maintain and file accurate records.
  • Knowledge of water distribution and transmission systems, wastewater system operation and maintenance.
  • May require extensive knowledge of hazardous waste materials operations; fire apparatus and small equipment

maintenance operations; special operations (i.e. high angle, confined space, fire police, etc.); computer

systems/communications operations; EMS transport; wild land firefighting operations; fire prevention/investigation;

airport fire operation; supply chain management.
