Job Summary:
Under the direction of the Manager of Campus Services, this position supports the management and coordination of the facilities campus services. Responsibilities include supervision of projects and administrative tasks generated from the day-to-day operation of campus services: custodial services, refuse management; pest control services; facilities condition assessment; bidding and installation of flooring, window treatments, interior and exterior glass, and other campus services. Administer periodic building inspections and custodial service assessment to ensure customer satisfaction and adherence to contractual obligations and performance expectations.

Position Responsibilities:
  • Communicate and collaborate with University staff, faculty and key building occupants to ensure satisfactory delivery of services.
  • Administer customer Service Level Agreements and customer satisfaction programs.
  • Prepare periodic reports to document service audits and to advise Manager of Campus Services of the status of custodial and campus support operations.
  • Oversee janitorial services assessment program in accordance with established guidelines to ensure customer satisfaction.
  • Review custodial billings for accuracy and contract compliance.
  • Maintain surplus furniture inventory in the Facilities warehouse.
  • Ensure general inventory classrooms have appropriate furnishings as covered by Campus Services including classroom furniture, meeting space furniture, partnering with other departments making general furniture requests.
  • Communicate and coordinate with vendors for bidding and installation of floor coverings, window treatments, interior and exterior glass, contract painting and common area furniture.
  • Work with vendors and stakeholders in the coordination of small and large scale moves.
  • In collaboration with the Facilities Sustainability Coordinator and the Zero Waste Coordinator, audit sustainability practices, analyze data, and enhance or develop, train, and promote new practices while following environmental city, state and federal policies.
  • Coordinate and monitor summer Campus Services programs, including but not limited to dorm room furniture set-up, paint, flooring and cleaning of residence halls.
  • Interact successfully and professionally with all members of the University community as well as external contractors and other constituents.
  • Monitor Campus Services work orders for proper assignment, timecard approvals, recordkeeping and completion of services in the work order management system.
  • Provide support for procuring materials and services through the university e-procurement system for Campus Services including special approvals while ensuring that internal controls are maintained and department and university policies and procedures are followed.
  • Manage contract processes, including but not limited to obtaining proper approvals, provide required information, and submission in the administrative cloud-based platform following departmental and university policies and procedures.
  • Assist Manager of Campus Services with the record-keeping of vehicle registration, purchase documents, and maintenance records.Perform other duties as assigned.

Preferred Qualifications:
  • 2-4 years' experience in vendor management, facilities management and related field experience.
  • Demonstrated ability to establish and maintain effective working relationships with diverse population of faculty, staff and campus community.
  • Strong interpersonal, organizational and self-motivational skills.
  • Superior customer service and communication skills, including the ability to communicate clearly, confidently and concisely in verbal and written formats to a wide variety of constituents.
  • Ability to work effectively with minimum supervision.
  • Understanding of desktop software in a PC or MAC environment (MS Word, Excel, etc.).

Salary Range :
$63,712 - $75,000 annualized; commensurate with experience
