Position: Assistant Registrar

Department/Division: Office of Records/Academic Affairs

Salary: $40,000 - $45,000

FLSA Classification: Salaried, Exempt

Position Type/Duration: Full Time/Grant funded

Position Schedule: 8:00 am – 5:00 pm (some extended hours may be required)

ESSENTIAL FUNCTIONS

· Conducts senior academic audits for applicants to confirm graduation.

· Oversees the Graduation process for accuracy to ensure that all graduation requirements are met, tracks senior dues, submission of applications, graduation application fees, ordering degrees & graduation paraphernalia, and monitors list of graduation applicants.

· Processes Degree Replacement forms and responsible for ordering replacement degrees.

· Receives & Processes Administrative Withdrawal, Single Class Withdrawal, NO SHOW, & FERPA Forms, update in Jenzebar as needed, ensuring to generate email notifications for distribution to: Instructors, Students, Academic Advisors, Academic Deans, ACE Department, and Virtual Learning Coordinator.

· Processes all requests for grade corrections and submits to Registrar for review and signature, enter approved changes into system.

· Assists with and participates in the registration process for Traditional, VUONLINE, and students seeking Certification.

· Assists in coordinating and implementing registrations for Fall, Spring, Summer, Tiger Transition, and Certification sessions.

· Assists with the retrieval of data and generate various reports upon request.

· Maintains the RE registration module and develops workflow procedures to ensure consistent and effective use of the system and departmental efficiency.

· Serves as technology liaison for the RE module of Jenzebar and coordinates technology training.

· If required by the Registrar attends and participates in various meetings and committees.

· Reviews grades of students submitted by faculty in electronic format ensuring accuracy.

· Manages the grading window and confirms that all grades have been submitted by faculty.

· Provide the Director of Veteran Resource Center with student records in anticipation of federal audits, if needed.

· Assists the Registrar with the preparation of official documents, academic forms, letters, and various paraphernalia for internal and external distribution.

· Assists where needed, with the planning, preparation and execution of Honors Day and Commencement.

· Supervises Work-study Students and correct/submit their timecard.

· Serves as liaison for the Office of Academic Affairs with the review of the Academic Catalog.

· Serves as liaison for the Virtual Learning Coordinator & Site Coordinators and perform/review final senior audits submitted by the (VLC & SC) for accuracy to ensure that all enrollment and graduation requirements are met.

· Informs and advises students of departmental and institutional policies, procedures, and protocols related to their enrollment at Voorhees University.

· Performs all other duties as required to support the goals of the department and the mission of the University.

EDUCATION

· Bachelor’s degree preferred or two years’ experience in related field.

PREFERRED QUALIFICATIONS

· Mid-level expertise in technology and data processing is required.

· Excellent oral and written communication skills

· Commitment to providing excellent customer service.
