I) Job Purpose

Under general supervision of the BCBA Team Coordinator, BCBA, supervises RBT’s (Registered Behavior Therapist). The BCBA program plans, coordinates, trains, assesses, and oversees daily operations of assigned licensed and or staff in the Applied Behavior Analysis (ABA) program.

The BCBA serves as a Supervisor, Coach and Trainer within CFS ABA program.

This position commits to actively and regularly collaborating with external community stakeholders and internal MHMR programs, serving these families.

This position commits and strives to relate and communicate with families, staff, MHMR colleagues and community partners in a trauma informed manner that reflects and creates a culture of Felt Safety, Regulation and Connection with all.

This position requires the use of this employee’s education, training, and experience to make decisions.

II) Essential Functions

1. Provides intensive clinical and administrative supervision to RBTs.

  • Creates culture and relationships characterized by felt safety, regulation, and connection
  • Creates relationship with staff that reflects role of supervisor as (Circle of Security) secure base
  • Coaches, Directs, Reflects and Empowers assigned staff, in order to build capacity of staff skills and abilities, and to enhance staff knowledge.
  • Manages personnel issues
  • Manages learning and development
  • Manages onboarding/exiting/transferring
  • Manages referrals, graduations, and discharges
  • Compares identified needs with service availability and capacity

2. Ensures compliance with applicable federal, state, and agency laws, regulations, and rules.

  • Reviews staff documentation
  • Reviews applicable billing
  • Ensures and Follows agency operating procedures
  • Oversees RBTs

4. Ensures adherence to applicable grant requirements, metrics, Medicaid and third-party rules/requirements, standards, and budgets.

  • Completes accurate and timely required reports
  • Coordinates and communicates timely with partners
  • Initiates needs for any EHR changes/reports when indicated

5. Meet community and family needs.

  • Formulates and participates in strategic planning at applicable levels for assigned programs
  • Maintains current knowledge of trends and changes associated with court involved programs, clinical best practice, evidenced based practices and laws related to Texas family codes and DFPS.
  • Responds to family concerns, complaints, and dissatisfactions, in ethical, timely, trauma informed manner and according to agency policy and practices.
  • Develops and maintains positive relationships with community partners in order to facilitate positive outcomes for families and specially to support the family’s vision for themselves and their child.
  • Establishes, facilitates, and participates in cross agency/ program teaming when clinically indicated for the benefit of the family.
  • Engages in outreach and public relation information sharing
  • Advises the Senior Director of events or actions within the program that might have an adverse effect on families, services, or staff.

6. Ensure billable hours are completed in accordance with approved authorizations.

7. Oversee communication with families and funding sources to ensure program hours are attained.

8. Conduct Functional Behavior Assessments

This includes determining the relationship between environmental events and behaviors, accounting for possible biological, social, and psychological factors that may affect behavior.

Performance Standards:

a. Observe and evaluate child/youth behaviors and interactions with others, using direct and indirect assessments.

b. Write reports, which summarize assessments, evaluate the significance of what was learned, and provide recommendations.

c. Formulate intervention strategies for a broad range of behavior l problems as part of the treatment plan.

d. Employ a wide array of strategies to assess and design programming for both skill acquisition and skill generalization over time and across people, settings, situations, and materials.

e. Conduct functional assessments, which may include functional analyses of challenging behavior, and select the specific assessment methods that are best suited to the behavior and the context.

f. Periodically review and revise the behavioral interventions based on requirements, laws, rules etc. monitoring of individual’s progress.

g. Consult with team members, providers, and caregivers.

9. Develop the treatment plan for children and youth assessed.

Performance Standards:

a. Provide input into the development of the Integrated Summary, strengths and concerns, and outcomes and strategies and planned services, frequency, and duration.

b. Identify specific behavioral strategies and activities to be performed to address the needs of the individual.

c. Participate in periodic reviews for assigned cases as needed.

d. Participate in plan updating and evaluating as needed.

10. Plan and implement interventions and provide education and consultation in applied behavior analysis and assessing and treating problem behavior.

Performance Standards:

a. Plan (or find assistance in developing and planning) a specific treatment plan to be implemented in the home or other natural setting that meets the outcomes and strategies as outlined. Jointly develop goals with individual, family, providers and/or other service team members.

b. Design, implement, and provide consultation and education in ABA programming for individuals who have experienced trauma through consultation with appropriate licensed mental health staff.

c. Design and implement programs and recommendations to reduce stereotypic, disruptive, and destructive behavior, based on systematic analysis of the variables (antecedents and consequences) that occasion and maintain the behavior and match treatment to the determined function(s) of the behavior.

11. Assist with implementation of home programs through demonstration, coaching, and other techniques for parents/caregivers/guardians/behavior technicians.

  • Prior to each visit, select particular activities and needed materials related to PDP strategies and goals to use at home or community-based visit and document effectiveness in the progress note reviewing session with caregiver before leaving. If appropriate, discuss and provide home program activities for the family.
  • Engage provider, caregiver, and other appropriate family members in planned activities so that the provider and caregiver can demonstrate all activities and determine their effectiveness.

12. Provide interventions stated in the treatment plan for children/youth ages 2 to 20

  • Manage an active behavior analysis client caseload receiving direct and indirect ABA services each week.
  • Provide direct behavioral therapy interventions to individuals when needed.
  • Assist caregivers and providers to carry out the approved behavior support/maintenance plans. Provide parent and caregiver training and consultation. Employ an array of scientifically validated, behavior analytic teaching procedures.
  • Incorporate behavior analytic techniques into skill-building programs, which may include prompting; errorless teaching and error correction; maximizing learning opportunities; effective reinforcement and motivation techniques; techniques for establishing stimulus control (including discrimination training); preference assessments; and choice procedures.

13. Provide consultation and training to staff and community partners.

  • Consult with Team, providers, caregivers and collateral regarding serious behavior and psychological problems
  • Provide in-services in areas of competency for staff as needs are identified.
  • Formulate intervention strategies for broad range behavioral, social emotion, and communication problems.
  • Provide training in ABA methods and other support services to other staff as needs are identified or as in-services are planned.
  • Communicate, coordinate, and train others about goals, strategies, progress, etc.

14. Participate as a Team Member

Performance Standards:

a. Attend team meetings as agreed upon with supervisor

b. Strive to make effective working relationships with team members and families that are characterized by mutual support, open communication, trust, and respect in order to reach mutually satisfying strategies.

c. Participate in team, blending ideas and interventions across disciplines in order to better serve family’s needs.

d. Problem solves with infrequent assistance from supervisor. Identify problems and use a rational approach for the situation to act on the problem. Communicate problems/decisions appropriately to supervisor.

e. Be able to discuss uncomfortable and potentially conflict producing issues professionally and effectively with families, community agencies and other staff.

f. Demonstrate ethical responsibility when parents, individuals and providers express concerns about staff behavior by discussing with supervisor.

g. Demonstrate professional behavior.

h. Make CPS or APS report when indicated.

i. Attend ARD meetings at schools as needed.

15. Participate in promotion of program to the community

Performance Measures:

a. Maintain professionalism in all contact with individuals in the social services community with no complaints documented.

b. Participate in public awareness activities as identified or requested and provide documentation for the public awareness notebook.

c. Act as liaison to various community organizations and groups by attending their scheduled meetings when agreed upon with supervisor.

16. Complete all required documentation

Performance Standards:

a. MHMRTC EHR content is considered legal record and therefore completion must follow MHMRTC policy and any changes, errors or late entries must be done according to agency policy.

b. Accurately, completely, and legibly document all activities/contacts for/with each individual in progress notes or evaluation reports and/or Electronic Health Record within one (1) workday;

c. Consent for Assessment -The form is completed prior to initial meeting. Verify this has been completed before initial contact.

d. Discharge summaries are accurately, completely and legibly documented in the EHR and submitted as final within one working day after end of service by BCBA. All documentation will be completed within five (5) workdays of discharge. In the event of client death complete the Discharge summary progress note and submit within 24 hours.

17. Self-directed professional growth and development.

Performance Standards:

a. Attend program, agency and interagency meetings.

b. Complete all forms and or app documentation required by MHMRTC for personnel purposes, including time sheets and mileage according to timelines established by the Program/MHMR.

c. Maintain Professional License / Certification.

d. Monitor and successfully complete initial and refresher-training requirements established by MHMRTC Human Resources.

e. Participate in supervision as established by director.

Minimum Qualifications

1. Minimum Education: Master’s degree in ABA.

2. Preferences: prefer experience working with children and youth age 18 months to age 20 years

6. License/Certifications: Board Certified Behavioral Analyst (BCBA), and Licensed Behavior Analyst in the state of Texas current license with no restrictions

VIII. Agency Requirements

  • All staff are required to participate in agency Emergency Preparedness and Environmental Safety programs and may be assigned by their department as a key/essential staff level function during critical events or for the purpose of sustaining business continuity.
  • This position may require temporary or permanent re-assignment to any MHMR Tarrant facility as determined by program needs and/or the Division/Director.
  • Assigned work hours may change as the needs of the agency change.
  • The Functional Title of this position may change as the needs of the agency change.
  • All work will be completed within the scheduled work hours. All non-exempt (hourly) employees are expected to clock in and clock out for each work shift, no work should be done off the clock.
  • Prior approval from supervisor is required for all Paid Time Off (PTO) and Overtime.
  • MHMR reserves the right to change, add to or eliminate positions as it deems appropriate.
