JOB DESCRIPTION

Assist in the financial management of the Athletic Department, to include supervision of the athletic travel, budgets, team travel coordination, purchase of equipment and supplies, maintenance of staff income reports, computers, and general Athletic Department office affairs.

RESPONSIBILITIES

  • Responsible for all interdepartmental and member communication via phone, mail, email, etc.
  • Demonstrate a thorough knowledge of and adhere to applicable NCAA, Conference, University, and departmental rules and regulations. Upon notification of any NCAA violation, report the violation to the Assistant Athletic Director/Compliance or Director of Athletics and follow applicable procedures for reporting and investigating a violation with the NCAA.
  • Assist in supervising the financial affairs of the athletic department including:
  • Assist in preparation and compliance with the University budget.
  • Processing paperwork for all athletic facility improvements.
  • Preparation of and assisting with financial requests and reports for all coaches and administrators, including Travel Authorizations, Travel Advances, Travel Reimbursements, Airline Reservations for all department personnel.
  • Monitor internal budget reports, account payable reports, and employee reimbursement reports as needed.
  • Assist in developing and maintaining internal controls and accounting procedures. Monitor departmental activities in financial and operational areas to ensure compliance with standard operating procedures.
  • Preparation Of Independent Contractor form.
  • Oversee office operations and ensure that expenditures are within the limits of the approved budget.
  • Assist Associate Athletic Director/Marketing with the issuance of sponsor trade for the Athletic Department related business. Prepare Marketing Certificates for season tickets and individual games for charities and church organizations.
  • Keep track of the department’s computer needs: hard-drive capacity, software, printers, repair needs, and coordinates all maintenance and additions.
  • Responsible for coordinating and ordering all office supplies and related goods.
  • Serve as the assistant representative for coordinating financial operations with University administrators.
  • Responsible for the smooth operation of office procedures and supervision of the office staff.
  • Hire, train, schedule and manage hours new office employees, and student workers across the athletic department.
  • Perform related duties and special projects as requested by the Athletic Director.

REQUIREMENTS

EDUCATION

  • Bachelor’s Degree preferred or equivalent knowledge and experience.

EXPERIENCE/SKILLS

  • Two to four years of related experience is preferred.
  • Proficient in the use of Microsoft Word, Excel, Publisher and Power Point is preferred.
  • Skill in organizing resources and establishing priorities.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to make independent decisions and judgments on administrative and procedural issues.
  • Ability to analyze facts to determine actions to be taken within the limits of standard practice.
