JOB SUMMARY

The Certified Medical Assistant (CMA) for AAPHC works under the supervision of the Director of Nursing and Specialty Services Director performing a variety of general health, and clerical procedures for effective management of health problems in the patient population served through the health center.

Duties and responsibilities

Clerical Duties:

1. Cross-trained to monitor and perform appointment/patient scheduling.

2. Answers phones, screens calls and takes messages. Answers incoming calls for adding or cancelling appointments to provider schedules. Verifies phone number, date of birth, and insurance information.

3. Scan documents into the Electronic Medical Record as necessary for patient documentation.

4. Completes sign-in of patients documenting arrival time and updating patient demographic and insurance carrier.

5. Makes return appointments during patient check-out.

6. Gathers data for patient registration, copies insurance and identification cards. Orients new patients and patients parents to the clinic and assists them with any questions and completion of paperwork for both clinic and other agencies

7. Update Sliding Fee Scale applications and assists patient parents in completing the application.

8. Verifies enrollment eligibility by using the member eligibility in ECW or verifying eligibility through the insurance websites.

9. Processes cancellations and no-shows according to protocols.

Clinical Duties:

1. Under supervision, functions in an accurate and efficient manner to provide quality care and complete patient safety.

2. Prepares exam rooms and equipment for each appointment.

3. Takes vital signs, documents patient’s allergies, completes clinical records, and prepares patient for physician examination and treatment.

4. Assists provider with examinations and procedures

5. Assists with other nursing and laboratory procedures under the supervision of licensed nursing personnel or medical provider.

6. Maintains cleanliness of all clinical area, washes and sterilizes instruments, maintains adequate stock of supplies. Orders lab supplies.

7. Performs phlebotomy using skilled techniques following nursing policy and procedures regarding labeling, transport, accession into lab computer.

8. Performs waive testing procedures using skilled techniques following laboratory policy and procedures.

9. Provide patient education pertaining to patient condition or preventive care. Documents patient education in the electronic medical record.

10. Demonstrates patient advocacy which assures patients' right to privacy, safety, and confidentiality.

11. Understands HIPAA requirements and conducts clinical and business processes that ensures patient privacy as a priority.

12. May schedule patient appointments for follow-up visits, no-show, and referrals to other providers and agencies as indicated.

13. Referrals are made at providers direction using computers log to document referral. Provides timely feedback to provider if appointment is not kept.

14. Responsible for retrieval and dissemination of information for the providers in their care and treatment of the patients.

15. Answers and directs all incoming calls to the SBHC and handles appropriately. Takes messages and gives routine information in accordance with established procedures. Accurately documents all messages; gets messages to provider timely; and ensures patient has a return call regarding their request or concern.

16. Keeping with Georgia law, notifies patient of lab results within 14 days of provider receiving the results. Patient will be notified through Televox Labcall system or contact by telephone and/or card notification. Notification will be documented in the medical record.

17. Completes appropriate forms as directed per supervisor.

18. Attends meetings as requested. Participates in in-service program and skills fair.

20. Demonstrates specific competencies that will be evaluated through direct observation and QI process (information from chart reviews, patient/peer/physician feedback, variance reports, and other mechanisms as indicated).

21. Other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES

Knowledge of pediatrics, organizational policies, procedures/processes. Knowledge of computer systems and applications. Skill in gathering and interpreting data; exercise initiative and judgment. Good communication skills to elicit information and cooperation from patients. Skill in establishing and maintaining effective working relationships with patients, staff and the public. Ability to act calmly in stressful situations.

Qualifications

High school diploma. Graduation from a technical college program which prepares student for Certification by the American Association of Medical Assistants, Inc. Current Basic Life Support (BLS) certification. Basic clinical and laboratory skills are essential. Knowledge of medical terminology. Pleasant disposition and ability to communicate effectively with pediatric patients and coworkers is a must. Represents AAPHC to the public in a good and positive manner.

Typical Physical Demands

Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Requires standing and walking for prolonged periods of time. Occasionally lifts and carries items weighing up to 50 pounds. Requires corrected vision and normal color perception, and hearing to normal range. Requires working under stressful conditions and working irregular hours. Requires exposure to communicable diseases or bodily fluids.

TYPICAL WORKING CONDITIONS

Frequent exposure to communicable diseases, toxic substances, medicinal preparations, and other conditions common to a clinic environment. Needs to be flexible to stay late as required to complete daily processes.
