Center for Life Management (CLM) provides the area's most comprehensive array of outpatient mental healthcare. We offer innovative and evidence-based services that enhance the health and well-being of individuals and families. We operate three facilities, our main office (Derry, NH), our satellite office (Salem, NH) and a residential program (Salem, NH). Our practice serves Southern New Hampshire as the regions designated mental health center, therefore our services are provided in a hybrid model to meet patient needs including in the home, in the community, in the office and remote via telehealth.

The Director of Practice Operations will provide strategic planning, direction, and leadership to advance the practice vision, patient experience, and financial viability of the agency. The director will anticipate operational risks, create effective risk mitigation plans, suggest and launch new initiatives and modify existing operational processes to improve organizational efficiencies and service delivery maximization across the agency. This is a full time, 40 hour per week position and is considered exempt in accordance with the Fair Labor Standards Act (FLSA).

Major Functional Areas and Description of Duties

  • Evaluate, advocate, and drive initiatives that improve the effectiveness of front-end operations to maintain safe and clinically successful offices (including but not limited to patient and staff workflows, verification of demographics and insurance, collection of co-pays and back balances, compliance with coding practices, centralized and follow-up scheduling, strategic utilization of on-site office space, facility concerns and maintenance needs, use of technology and automated systems, safety and security mechanisms and practices, office supplies and equipment);
  • Create and implement key performance indicator benchmarks and dashboards with a focus on meaningful changes to uphold agency vision and outcomes;
  • Provide ongoing assessment and feedback on performance of assigned staff;
  • Identify, develop, manage and coordinate training to advance clerical proficiency and workflows;
  • Create and maintain a training manual of new and enhanced administrative procedures to ensure adequate communication and consistent use of processes across offices;
  • Provide supervisory support as needed and timely completion of formal performance reviews when due;
  • Work in concert and collaborate closely with various levels of leadership to achieve optimum operational effectiveness that support client outcomes, staff productivity, and budget variances;
  • Ensure self and team members:
    • Serve on appropriate committees, both internally and externally, as determined by supervisor;
    • Function professionally and in a manner that protects the integrity, confidentiality, and rights of all clients and staff;
    • Promote a positive work environment and culture that fosters cooperation, teamwork, professional growth and development to benefit CLM staff, clients, families, and community partners;
    • Execute all required functions, services, and documentation in accordance with agency policies, federal standards, and state statues;
    • Maintain professional memberships, licenses, accreditation, certifications, etc.;
    • Adhere to Center’s Code of Ethics;
    • Represent CLM in a professional and appropriate manner in all settings;
    • Perform all other duties as assigned by supervisor.

Qualifications and Skills

  • Minimum of 10 years of healthcare leadership and management experience within a dynamic, high-volume medical practice;
  • Bachelor’s degree is required; an MBA is preferred; certification(s) in practice management or related disciplines is highly desired;
  • Strong leadership skills and understanding of change management and process improvement, with a deep understanding of inherent risks;
  • Experience with business intelligence and analytics with emphasis on forecasting clinical capacity and organizational needs;
  • Ability to take initiative and exercise sound judgment, decision making and problem-solving expertise while applying policies and principles to solve everyday problems and handle a variety of routine, urgent, and emergent situations;
  • Proficient computer skills and knowledge of all Microsoft office applications (Word, Excel, Power Point, Outlook, TEAMS, etc.), along with knowledge and experience with an electronic medical record;
  • Advanced documentation skills and ability to gather, analyze, interpret and present information via data, reports and spreadsheets;
  • Ability to demonstrate strong leadership skills that guide the implementation and sustainability of program services and foster workforce development;
  • Must be able to demonstrate effective communication, organizational and multi-tasking skills to manage competing projects while adhering to deadlines and interacting with various levels of staffing across the agency;
  • Ability to acquire and effectively execute new skills as needed according to evolving agency needs.

Physical Demands and Working Conditions

The work takes place in both an office and remote settings. Manual dexterity is needed to use computers and standard office equipment. The ability to sit for extended periods of time is required. Reliable transportation required to travel between practice locations. Reliable internet access required for remote work.
