Denver Motor Vehicle is seeking an eager and dedicated individual to serve as a DMV Back Office Administrative Assistant who will provide administrative, procurement and programmatic support functions to the Motor Vehicle Administration Unit including the Director, Deputy Directors, and Fiscal Operations Supervisor daily by ensuring that assigned duties are conducted in a timely, accurate and equitable manner. This includes a variety of detailed and at times complex organizational tasks including but not limited to data entry ranging from basic to technical in nature; managing and organizing various internal documents electronically; word processing and producing/editing documents such as meeting agendas, policies, procedures, phone lists, asset lists, organizational charts, Gantt charts, process maps, dashboards and charts; generating reports from internal and external sources; handling of office supplies and equipment (procurement and maintenance); managing Outlook calendars and scheduling; preparing and processing branch and agency distributions (signs, documents, staff and new hire documents, employee engagement communications, employee handbook, standard operating procedures, etc.); database data entry; backup of team member duties as needed; and other administrative office duties as assigned. This position requires a high level of proficiency in the Microsoft Office Suite products. Successful applicants will exhibit a high level of attention to detail, strong organizational skills, and an ability to multi-task and function efficiently in a high-stress environment. Additionally, the DMV Back Office Administrative Assistant :
  • Creates confidential meeting documentation and memorandum creation as needed
  • Edits Newsletters, and Agency communications for content, clarity and grammatical errors as needed
  • Assembles, adds, retrieves, labels, and organization of information from files and records including the share drives and paper files as required (including maintenance and audit annually)
  • Creates and maintains tracking documents in excel (supplies, assets, fleet maintenance, etc.)
  • Facilitates vendor/facility relations management (scheduling, submitting tickets, etc.)
  • Greets visitors, takes messages, provides routine information, and refers problems to the appropriate person(s) for resolution
  • Reviews and edits agency distributions for grammatical and spelling errors with subject matter expertise as is applicable
  • Compiles data and copies information or data from one form to another including data exports to spreadsheets and presentations
  • Distributes and/or arranges delivery of agency communications and distributions and other materials, operates a variety of office equipment, scans and makes copies of documents
  • Acts as the note taker at all leadership meetings with the responsibility of completing notes within 72 hours of each meeting

About You

  • Education requirement: Graduation from high school or the possession of a GED, HiSET or TASC Certificate.
  • Experience Requirement: Three (3) years of full performance office support/clerical work (type and level of an Administrative Support Assistant III).
  • Education/Experience Equivalency: Additional appropriate education may be substituted for the minimum experience requirement.
