Crawford Group (www.crawfordgroup.com) is seeking an Event Tradeshow Program Manager to join our global technology client’s Global Events team. This Global Events team drives significant business impact by creating the world's most engaging and innovative event experiences. In this role, one will provide event operations and program management expertise for in-person, hybrid, and digital/virtual tradeshows and events of all sizes, executing the client’s vision of success and measuring progress against that vision. One will follow and lead event processes, manage resources and budgets effectively, and utilize one’s superior event planning, organization, and communication skills to keep event programs on track and on budget. One will also follow Crawford Group Managed Service processes to adhere to guidelines and SLA requirements.

Responsibilities:
  • Provide event program management and leadership to all assigned tradeshow and event programs (primarily tradeshows). Programs may include in-person, hybrid, or digital/virtual events, proprietary and high-tech tradeshows, and live showcases
  • Program management duties include event planning and management, operations management, and budget planning
  • Work cross-functionally across global, partner, corporate technical marketing, web, and events teams to ensure the successful delivery of specific event programs
  • Liaise and establish relationships with other team members within Global Events as well as with Marketing, IT, Web/Registration, PR, key internal stakeholders, and external suppliers
  • Develop and maintain the event management documents including the project plan and objectives, master timeline, budget, and planning PPT decks for various workstream meetings
  • Detailed Budget Management: exceptional overall program budget management via Excel including budget forecasting, reconciling, and closing out the final budget
  • Process PRs for POs, cross charges between departments, and credit card transactions. Maintain, review, and reconcile invoices in a timely manner to close out budgets on time and ensure programs and events are executed within budget
  • Partner with assigned strategy and audience engagement team members regarding program goals/objectives, internal and external communications, content production, data management strategy, and measurement activities
  • Lead weekly core team meeting(s), plus other weekly conference calls related to the respective event. Review and monitor deadline dates to ensure all team members/stakeholders are aligned and the program is moving forward and all deliverables are being met
  • Accountability for the overall management of all operations and logistics functions for the program or event and deliverables related to the program or event
  • Show Management: Work with the exhibit house on exhibit management and show services, provide input on all exhibit opportunities including booth space and placement, exhibit layout, exhibit orders, etc.
  • Sponsorship Management: Work with the sponsor organization/company on the execution of the deliverables included as part of the selected sponsorship (i.e. booth space, speaking opportunities, branding, Marketing Promotional Opportunities (MPOs), customer/partner/staff passes)
  • Provide input on future event program strategy and tactics with peers in Global Events, as well as internal clients, to include event review, booth space review, MPOs, Sponsorships, etc
  • Liaison/Management of internal ancillary program participation as required
  • Manage all post-show activities including post-show debrief meetings, final reports, readout with key stakeholders, and executive leadership
  • Build effective and inclusive relationships at a variety of levels
  • Adhere to Managed Service processes built as part of the supplier contract requirements
  • Attend team meetings and provide status updates to Crawford Group Managed Service Lead(s)
  • Provide backup and support to program management team members

Requirements:
  • Minimum 5+ years of event management experience on large-scale industry trade shows
  • Proven experience in engaging and developing collaborative relationships with a broad range of internal (including c-level) and external stakeholders, working well with cross-functional and cross-cultural groups
  • Strong communication skills, ability to influence cross-functional teams
  • Experience and understanding of large, complex organizations, and comfortable in a large corporate environment
  • Ability to manage simultaneous projects in a fast-paced, cross-functional environment
  • Proven ability to drive projects forward in a rapidly changing environment with a strong emphasis on virtual team working and conference call meetings
  • Advanced knowledge of event management and production for high-technology conferences, proprietary events, and trade shows
  • Knowledge and experience in planning and executing digital events
  • Strong overall negotiation skills
  • Excellent interpersonal and communication skills – both written and verbal
  • Proven track record managing a number of large programs, team/task interdependencies, timelines, and budgets
  • Experience with researching/recommending event elements (e.g. offsite venues, entertainment options, F&B), based on program format/goals, budget, and time allocations
  • Excellent organization, written skills, and time management
  • A flexible schedule to accommodate up to 30% travel (during non-pandemic time)
  • Strong analytical capabilities: at ease using and organizing data via pivot tables, measuring event and program performance, measuring ROI, etc
  • Strong understanding of data visualization, graphs, charts, and dashboards
  • Strong Excel and PowerPoint skills are required; along with the ability to present material
  • Uses discretion in handling details of a highly confidential and sensitive nature
  • BA/BS in Marketing or related field preferred
Location: Remote, Travel Required (~30%)

Rate: $1,800 - $2,120/weekly W-2 consultant of Crawford Group; benefits available (Our salary ranges are determined based on skills, experience and location)
