Ocean Spray is looking for a new Executive Assistant to join our team! We are looking for someone who maintains positivity and professionalism while building relationships crucial to the success of the organization. Someone who demonstrates strong interpersonal skills and a professional demeanor in appearance and behavior. This person will be responsible for maintaining strict confidentiality and a high level of integrity in all interactions working effectively with other departments while seeking solutions to business problems.
Position location: We're all about flexibility! This will be a hybrid role based out of our corporate headquarters in Lakeville, MA or our Seaport Boston, MA location with Mondays & Fridays remote. #LI-Hybrid

A Day in the Life of the Executive Assistant:
  • Leverage strong technical acumen to provide robust support while anticipating and adopting innovations in business-building digital and technology applications
  • Provide high level and detailed calendar management - prioritizing and managing multiple calendars
  • Communicate effectively thru verbal and written communication to all levels of the organization
  • Acts as the gatekeeper prioritizing conflicting needs. Handles matters confidentially, expeditiously, proactively and independently and follows through on tasks until successful completion
  • Suggests new processes/procedures to expedite projects and day-to-day workflow
  • Monitors incoming invoices for processing and payment, track invoices through the payment process and providing information to the finance department
  • Support leaders in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, calm, resourceful and efficient
  • Demonstrates an openness to constructive feedback and a flexibility to adjust behavior or performance as needed
  • Plan and execute departmental events and meetings
  • Handles travel coordination and expense reimbursement
  • Shared Responsibilities
  • Works with others to ensure efficiency of the administrative and support functions
  • May lead or collaborate on special projects or initiatives
What We Are Looking For:
  • MS Office (Work, Excel, PowerPoint and Outlook) applications required
  • High School Diploma required
  • 3–5-years experience supporting top executives
  • International travel & visa experience required
  • Organizational skills that reflect ability to seamlessly perform and prioritize multiple tasks with excellent attention to detail required
  • Strong problem-solving and decision-making skills required
  • Strong interpersonal skills required
  • Superior written and verbal communication skills required
  • Ability to exercise confidentiality, tact and diplomacy
