SCOPE OF POSITION: Provides high level, confidential, and administrative support to the Senior Director of Long-Term Care Services and assists with the day-to-day operations of Long Term Care (LTC). Serves as the first point of contact for employees, department heads, vendors and the general public relative to the Senior Director of Long Term Care Services and programs of the Facility.

EXAMPLE OF DUTIES
Provides overall administrative support to the Senior Director of Long-Term Care Services and the extended team.Cultivate and maintain excellent working relationships with the Long Term Care Services team members, Executive team, County Employees, and External contacts. Manages Request for Proposal’s (RFP’s) for products, equipment, and services as well as Bid Waivers, Surplus Equipment and Lien Releases.Manages contracts and agreements from inception to full execution in conjunction with the Senior Executive Assistant to Board of Commissioners.Obtains necessary Certificates of Liability coverage from various vendors upon bid award approvals.Assists the Senior Director of Long Term Care Services with personnel related documentation (i.e., Exception Requests, Payroll Change Notices, New Hire paperwork).Develops and edits notices, letters, documents and other relevant communications as well as power point presentations. Conserves Senior Director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.Prepares travel arrangements.Arranges meetings and reservations for the conference rooms in the LTC facility.Coordinates daily, weekly and monthly calendar schedules for Senior Director of Long Term Care Services.Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Prepares reports by collecting and analyzing information.Nursing Home bid process for products, services, and equipment.Coordinates and arranges meetings, prepares agendas, takes meeting minutes, and reserves/coordinates set-up of meeting rooms.Assists in providing and obtaining services or products as directed by the Senior Director of Long Term Care ServicesPrepares and distributes LTC agenda items, memorandums, and other documents for the weekly BOC meetings and other LTC meetings. Gather preparatory paperwork for state and Federal agencies. Maintains customer confidence and protects operations by keeping information confidential.Communicates timely and effectively to all LTC staff inquires.Represents office in a professional manner and maintains communication with all county personnel and the general public.Schedules maintenance repairs with Engineering & Maintenance.Adheres to HIPAA standards and privacy while maintain resident confidentiality with regards to estate information as well as information regarding sensitive LTC business and personnel issues. Monitors status of on-going projects within this Division and provides updates on progress.Develops and maintains filing systems, orders general supplies, answers telephones, sorts mail and distributes mail to all departments.Assists in processing administration employee’s time and attendance hours through Time and Attendance tracking system.Posts and removes job postings in coordination with Human Resources Department on general communication bulletin boards.Maintains employee confidence by keeping information confidential.Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.Requires the ability to work at the office from 8:00am to 4:00pm, Monday through Friday with occasional variation of scheduled hours during peak times or at the request of the Senior Director of Long Term Care Services.Distributes payroll checks to Nursing Home departments.Prepares flyers, promotional materials, and/or posters as needed.Performs other related duties and specialized projects as identified.Performs projects for other department on an as-needed-basis.

MINIMUM QUALIFICATIONS
Associates degree or equivalent from a two-year college or technical school; and Three to five years of related experience; orA combination of education and experience.Knowledge of basic accounting practices and budget experience. Must be able to obtain and maintain a notary.
