EXECUTIVE ASSISTANT
We are the owners of multiple businesses and a consulting co, looking for an in-office Executive/Personal Assistant. We have a lively, boisterous, very busy office with a great Service team.

Managing correspondance between owners and team when owners are away
Putting together presentations and budgets for clients
Communicating and scheduling clients, vendors & contractors
Assistance with design project installations
Purchasing
Packing and shipping of materials
Ordering samples
Errands as needed
Social media updates
Special projects as needed
Vendor research

Responsibilities
*Maintain the CEO’s appointment schedule
by planning and scheduling business and personal meetings, conferences, teleconferences, as well as coordinating and booking travel arrangements.
*Assists the President/CEO with daily administrative duties
and completes a broad variety of administrative tasks that include completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Assists and *supports the CEO in preparing for meetings*, including preparing meeting materials, keeping track of meeting progress and follow up items, and preparing and revising correspondence and other documents, as necessary.
*Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
Serve as the primary contact for the company, greet and establish rapport with employees, clients, visitors, and all other guests entering and exiting the building.
Answer and direct telephone calls, and appropriately relay important information promptly, clearly, maintaining confidently as needed.
*Notify CEO of important dates
such as employee birthdays and anniversaries.
Manage sensitive matters with a high level of confidentiality and discretion.
Plan, coordinate, organize and help at various company meetings, events, and celebrations.
Receive and sort daily mail, filing appropriate documents accordingly.
Maintain inventory of the company’s supplies, reordering as needed.
Be easily assessable for after-hour travel, scheduling, and other needs.
Pick up deliveries and run errands as needed *for the CEO for both business and personal reasons.*

Scheduling of meetings
Compliance and renewals of various licenses
General filing
The Executive Assistant will perform a wide range of administrative and office support activities and aide the CEO in facilitating the efficient operation of the organization.
May serve on special projects, committees, or act as manager or department representative.
Opens, distributes, reads/handles mail and emails as requested or required.

Requirements
Ability to travel on occasion
Ability to go to after hours networking events
Valid drivers license
Working vehicle and insurance
Must pass a background check
US citizen or work permit
Skills Required(Please do not apply if you do not have the skills required. Candidates that do not have these skill sets will not be considered.)
Previous job experience as an administrative, personal or executive assistant is highly perfered
Excellent written and verbal communication skills
Highly Proficient in MS Office. An extremely high understanding of Excel is required.
Associates degree or higher

Bilingual Spanish a plus
